The AECE1 CMU Office, situated in Dar es Salaam, Tanzania, oversees these country operations. Unit Context: Zambia Country Context The Zambia program at WBG encompasses a comprehensive and strategically vital mandate, integrating IDA and IBRD operations, Trust Fund-financed initiatives, IFCâs private sector involvement, relevant AMIGA instruments, analytical work, advisory services, and policy dialogue. The Lusaka Country Office serves as the linchpin in executing the country program, cultivating robust client partnerships, fostering cross-institutional WBG collaboration, and liaising with government entities, development collaborators, and private sector stakeholders. The Zambia Country Office is searching for a meticulous, trustworthy, and proactive Executive Assistant to provide dedicated support to the WBG Country Manager (CM) and enhance the operational efficiency of the CMâs Front Office. The ideal candidate will deliver exceptional executive assistance, foster seamless collaboration among WBG teams and institutions, optimize information sharing and follow-through, and help cultivate a productive, client-centered, and cooperative office atmosphere. Duties and accountabilities: The ideal candidate will report to the Chief Manager and engage regularly with various institutional departments, colleagues in both domestic and international offices, governmental representatives, consultants, and external stakeholders. The Executive Assistant will undertake the following duties and responsibilities: Responsible for overseeing the operations and administrative functions of the Chief Ministerâs Office, ensuring efficient workflow, and maintaining high standards of professionalism and confidentiality in all official communications and documentation. Manages the Country Managerâs calendar, preparing and organizing briefing documents and background materials for meetings as required. Independently screens, prioritizes, and responds to a high volume of diverse inquiries and correspondence directed to the Country Manager, coordinating with various teams within the CMUâincluding Washingtonâwhile making timely decisions when multiple action paths are available. Tracks and follows up on issues pertinent to the Country Managerâs responsibilities, ensuring key staff members remain informed throughout the process. Handles confidential and sensitive information with discretion. Ensures briefing materials are submitted and reviewed promptly, confirming they are finalized and approved by the Country Manager prior to any scheduled meetings.
Oversees and manages all logistical components of the Chief Managerâs travel arrangements, encompassing SAP processing, ticket and accommodation bookings, and visa procurement, as well as coordinating travel logistics and protocol requirements during official missions.
- Crafts correspondence and establishes, implements, and maintains administrative guidelines to uphold the quality and precision of documents that require the CMâs endorsement.
