Executive Assistant (EA) As the Executive Director’s strategic partner, you will provide proactive, hands-on support in a dynamic, high-impact role. Serving as the primary liaison for internal and external stakeholders, you will oversee the coordination of critical operational elements of the Executive Director’s responsibilities, enabling them to dedicate their focus to visionary leadership and high-level strategic initiatives. The successful candidate demonstrates outstanding decision-making abilities, maintains strict confidentiality when handling sensitive information, and proactively anticipates potential scheduling conflicts and project deadlines well in advance. Key Responsibilities Calendar & Schedule Management: Serve as the strategic steward of the Executive Director’s schedule, meticulously overseeing, prioritizing, and coordinating a demanding calendar that spans multiple time zones to guarantee flawless daily operations. Gatekeeping & Communication: Act as the main liaison for internal teams, board members, investors, and external partners. Prepare, assess, and refine critical emails, memos, and other forms of communication. Meeting Preparation & Briefing: The Executive Director must be thoroughly briefed and equipped for every engagement, which involves developing detailed agendas, preparing concise briefing materials, and designing polished, visually engaging presentation decks. Project Tracking & Follow-up: Track progress on action items arising from executive and board meetings. Ensure team leaders meet deadlines through respectful yet firm follow-ups on behalf of the Executive Director. Travel & Expense Logistics: Coordinate intricate domestic and international travel arrangements, encompassing flights, accommodations, visa procurement, and local transportation. Additionally, manage the subsequent expense reconciliation process. Special Projects: Assume responsibility for ad-hoc projects, internal culture initiatives, or research tasks as assigned by the Executive Director. What We Are Looking For Experience: With a minimum of three years of experience as an Executive Assistant—preferably supporting a C-suite executive, Executive Director, or founder—within a dynamic and rapidly expanding organization, you possess the expertise to thrive in a high-paced setting. Communication Mastery: You possess outstanding written and verbal communication abilities, capable of crafting a tactful email to a board member or a concise, informative update for the team with equal proficiency. Proactivity & Problem Solving: You possess a proactive approach, anticipating challenges by not only identifying issues but also presenting at least two viable solutions for each. Tech Savviness: Proficient in utilizing contemporary productivity tools, including Google Workspace or Microsoft 365, Slack, Zoom, and project management platforms such as Asana or Trello. Discretion & Nuance: Maintains the highest standards of integrity when managing confidential financial, legal, or personnel records.
