Full-time, 12 or 24 months. Summary of roles Provide high-level administrative, coordination and operational support to the National Director, ensuring effective communication, monitoring of strategic priorities, interdepartmental coordination and compliance with organizational procedures and donor requirements. This role contributes to the effective functioning of the country office and supports the achievement of programme and operational objectives. Overview of the project Medair provides life-saving health, nutrition and health protection interventions to people affected by emergencies in hard-to-reach areas of eastern DRC. The region faces security and access challenges, as well as frequent outbreaks of diseases including measles, cholera and Ebola, making access to quality primary care a priority.

Place of work and working conditions Field station in Goma, Democratic Republic of the Congo.

Responsibilities

Support the Country Director (CD) in managing complex calendars, electronic traffic and administrative priorities while maintaining a high level of confidentiality. Coordinate, organize and take united accounts of meetings; track decisions and action points, and follow team members to ensure prompt execution.

Education / Qualifications

Conduct research and compile information required by the CD for donor engagement, external liaison, strategic decision making and project performance management. Provide administrative support for the initiation, coordination and documentation of investigations, ensuring confidentiality and procedural compliance. Support the CD to ensure that the organization’s key communications are effectively identified, disseminated and tracked across teams. Assist the CD in coordinating and monitoring activities in the areas of finance, logistics, human resources and administration. Provide operational support to financial and logistical processes as required, including procurement, payment documentation, budget tracking, inventory management, fleet management and filing systems. Prepare, review, organize and archive specific support documentation; as requested. Maintain operational reporting systems, trackers and logs; ensure timely communication and follow-up of ongoing actions. Identify and escalate operational risks and support compliance with Medair’s policies and procedures, donor requirements and applicable national regulations.

Candidate profile

Qualifications, experience and technical skills University degree in a relevant subject or equivalent professional or technical qualification. French spoken and written loudly, with good English spoken and written.

Experience

Experience in administration, finance, logistics, supply chain, HR or other support function, preferably in an NGO or humanitarian context.

Other information

Computer skills, with a good working knowledge of Microsoft Excel, Word and Outlook. Good organizational and documentary skills, with the ability to prioritize, meet deadlines and follow procedures. Team player with good interpersonal and communication skills, while being able to work independently. Ability to work under pressure, manage multiple priorities and maintain a level of personal stress.
