ROLE PURPOSE The Site Health Quality & Compliance Coordinator plays a pivotal role in ensuring quality assurance, compliance, clinical governance, and administrative oversight across occupational health facilities and first aid stations at both the Kansas and Sentinel mine sites. This position demands a meticulous, proactive professional with strong organizational skills, capable of independently driving follow-ups, upholding compliance standards, coordinating audits, managing precise documentation, and proactively identifying, escalating, and resolving gaps. The role involves close collaboration with the Chief Medical Officer and Quality Assurance teams to ensure seamless operational alignment. Manager To maintain site health services that meet MBHS standards, client expectations, and regulatory requirements, ensuring compliance, seamless coordination, and audit readiness. The ideal candidate will demonstrate proactive initiative, exceptional organizational skills, and robust clinical decision-making abilities while efficiently handling competing priorities in a high-pressure healthcare setting. EDUCATIONAL REQUIREMENTS Accomplished healthcare professional possessing substantial expertise in administrative functions, quality assurance, or regulatory compliance within the healthcare sector. A supplementary credential in healthcare administration will be considered advantageous. Professional registration and a valid license to practice with the Health Professions Council of Zimbabwe (HPCZ) and/or the Nursing and Midwifery Council of Zimbabwe (NMCZ) are currently required.

EXPERIENCE

REQUIREMENTS A minimum of six years of hands-on clinical experience is required. Minimum 2 years of professional experience in healthcare quality assurance, facility audits, clinical leadership, administration, compliance, accreditation, or healthcare operations is required. Professional experience in occupational health, emergency care, management of first aid stations, or healthcare facility accreditation will be considered advantageous. KEY ROLE ACCOUNTABILITIES Quality Assurance and Regulatory Compliance We seek a meticulous professional to oversee quality assurance protocols and ensure adherence to regulatory standards. The ideal candidate will validate processes, conduct inspections, and implement corrective measures to maintain compliance with industry and organizational requirements. Responsibilities include monitoring product quality, documenting deviations, and collaborating with cross-functional teams to resolve compliance issues. Strong attention to detail, analytical skills, and a thorough understanding of applicable regulations are essential. Prior experience in quality systems, audits, or regulatory affairs is preferred. Oversee quality assurance initiatives spanning occupational health facilities and first aid stations to ensure adherence to established standards. Coordinate routine facility audits and clinical compliance inspections in accordance with the MBHS Comprehensive Audit Planner. Ensure adherence to MBHS standards, client specifications, national healthcare regulations, and applicable legal requirements, as mandated by entities such as HPCZ, MCZ, ZAMORA, RPA, and other pertinent governing bodies. Monitor audit findings, designate accountable individuals as needed, ensure adherence to action plans, and confirm the resolution of non-conformances. Maintain and update various quality dashboards, registers, and compliance trackers to facilitate ongoing quality improvement initiatives. Maintain the currency, accessibility, and implementation of SOPs, standards, policies, forms, and other controlled documents. Compose monthly reports regarding quality and compliance matters for submission to both the Chief Medical Officer and the Quality Assurance Manager. Escalate recurring instances of non-compliance, significant risks, or unresolved delays to senior leadership for further review and resolution. Facilitate the organization, coordination, and participation in clinical governance meetings, management reviews, inspections, and accreditation activities. Occupational Health Facility and First Aid Station Management Assistance Assist in establishing and maintaining quality standards within occupational health facilities and first aid stations, ensuring compliance through ongoing monitoring and evaluation. Perform regular and unscheduled inspections to verify that facilities meet cleanliness, safety, and compliance standards while ensuring they are fully stocked and ready for operations. Maintain comprehensive records for licenses, certifications, equipment servicing, emergency equipment, consumables, incidents, training, and compliance-related activities. Monitor the operational status and functionality of critical equipment, emergency response assets, and clinical supplies to ensure readiness and reliability. Coordinate follow-up actions for maintenance tasks, procurement activities, equipment servicing, and facility-related concerns. Document and track identified gaps, ensuring they are followed through to completion. 3. Responsibilities of the SHE and QHSE Focal Point Assist in the successful execution of the Company’s HSE and QHSE requirements across all designated MBHS responsibilities. Conduct ongoing assessments of the workplace to identify and promptly report any potential hazards affecting staff, facility, or patient safety. Address any QHSE issues, suggestions, or proposals identified through audits, inspections, or operational activities without delay. To guarantee that emergency response plans are effectively disseminated, readily available, and clearly comprehended by all pertinent personnel. Compile and deliver HSE reports to the Quality Assurance Manager in accordance with established deadlines. Foster an environment characterized by a strong commitment to safety, accountability, and ongoing enhancement. Infection Prevention and Control Responsibilities: This role is responsible for implementing and maintaining rigorous protocols to prevent and control infections within healthcare settings. Key duties include monitoring compliance with hygiene standards, conducting risk assessments, and educating staff on best practices. Additionally, the position requires thorough investigation of infection outbreaks, coordination with public health authorities, and ensuring adherence to regulatory guidelines. Strong analytical and communication skills are essential, along with a deep understanding of infection control principles and current industry regulations. Assist in the creation, execution, and ongoing evaluation of infection prevention and control policies, procedures, and standards. Perform comprehensive audits and risk evaluations related to infection prevention and control protocols.
