Summary

Under the supervision of the Senior Accountant, the Accounting Assistant will support financial operations by following up on staff advances, conducting daily mobile money reconciliations, assisting with payment planning, maintaining and filing financial records, monitoring outstanding vendor balances, and supporting audit preparation through the compilation and organization of required documentation for review.

Essential Duties and Responsibilities

Responsibilities include the following. Other duties, responsibilities, and activities may change or be assigned at any time.

Assist in weekly follow-ups with all outstanding staff advances to ensure timely accountability. Assist in daily reconciliation of mobile money transactions and support in end-of-month close balance sheet reconciliations. Assist in preparing payment plans to support smooth financial operations. Ensure all financial documents, receipts, invoices, payment vouchers, and supporting records are properly filed, organized, and maintained daily for easy retrieval and compliance purposes. Assist in timely follow-up on outstanding supplier, vendor, and partner payments, to ensure obligations are settled within agreed timelines. Assist the senior accountant in the audit preparation processes by organizing financial records, preparing requested documentation. Support in the annual audit preparation by compiling the documentation needed for review by the Senior accountant. Assist in vendor's account reconciliation. Perform any other accounting, finance, or administrative duties assigned by the supervisor or management.

Supervisory Responsibilities: This position directly supervises up to 1 employee.

Education & Experience: Bachelor's degree in accounting or finance management or related field. Accurate and performance-oriented accountant with at least 2 years of experience in finance functions. Previous experience in cash management, reconciliations, bookkeeping, financial reporting, and statement reporting. Previous experience working in NGOs and used accounting software.

Other Qualifications: Comply with VillageReach's COVID-19 vaccination policy which requires full vaccination for in-person work or travel. Established cultural competency in partnering with racial, cultural and linguistically diverse groups. Demonstrated understanding of challenges with working in rural, underserved and low-income context; experience living in and/or working in a low-income country a plus. Proficient in Microsoft Office Suite (Word, PowerPoint, Outlook, Excel) and comfortable in a fast-paced technical environment. French and English required. Accounting or finance degree preferred.

Environment and Physical Demands: VillageReach has no private offices, employees work in a shared, open environment with task and conference rooms accessible to employees for privacy and meetings. The noise level in the work environment is usually quiet. Due to the time zone differences between our USA office and our Country Offices and location of other global staff, we have established core collaboration hours between 6am Pacific Time and 18:00 South Africa Time (GMT+1) Monday through Thursday. All staff, regardless of location are expected to be available between these hours. During Daylight Savings Time, this allows for 12 hours per week (3 hours/day) of collaboration time and during Standard Time, 8 hours (2 hours/day). We do not hold cross-office meetings on Friday. Include how much time (90%) of the work is spent sitting, versus standing and what physical demands will be asked of a person. Include what weight (no weight) will need to be lifted and vision requirement. Also include any other environmental conditions.
