Position Overview The Finance Coordinator plays a crucial role in managing the daily financial functions of the CHAI Zambia country office. Under the supervision of the Finance Manager, the incumbent is responsible for processing transactions, handling cash, organizing documentation, and providing administrative support to ensure the integrity and audit-readiness of financial records. Ideal for individuals in the early stages of their finance or accounting career, this mid-level position offers valuable hands-on experience within an international NGO environment. Responsibilities Process payment requests, vendor invoices, and staff advances in compliance with CHAI’s established financial policies and procedures. Collaborate closely with the Accountant to develop and prepare cash flow analysis reports, which will be submitted to the Finance Manager. Facilitate the accurate recording of transactions by assigning them to the appropriate project, donor, and budget line prior to processing in the accounting system. Process transactions on the Bank and Mobile Money Platforms, which have been reviewed and verified by the accountant, to facilitate program and organizational activities for CHAI Zambia. Compile and submit financial records—both physical and electronic—in a meticulously organized format, ensuring they are comprehensive and prepared for audit compliance at all times. As a Support Accountant, you will assist with the preparation and verification of documentation required for bank reconciliations and other standard financial control procedures. Provide support for the preparation and filing of statutory remittances, verifying that all supporting documentation is precise and fully comprehensive. Maintain accurate vendor files and assist in tracking and resolving outstanding invoices and purchase orders to ensure timely payments and compliance with financial procedures. Assist the accounting team in ensuring the accuracy and currency of the asset inventory records. Provide basic guidance to non-finance personnel regarding the submission of expenses and required documentation, escalating any complex inquiries to the Finance Manager for resolution. At the end of each month, collaborate with the Finance Manager to facilitate the closing process by compiling and organizing necessary supporting schedules and documentation as instructed. In coordination with the Accountant and Finance Manager, assist with both country-specific and global audit engagements by supplying the necessary documentation as requested. You will support the compilation and presentation of financial reports tailored for both internal teams and external stakeholders. Other responsibilities may include tasks as needed or directed. Qualifications A relevant degree in Finance, Accounting, ARCA Part II, CIA Managerial Level, RICA, or an equivalent field is required. Must hold an active membership with the Zambia Institute of Chartered Accountants (RICA); this requirement is non-negotiable. Professional Paragraph: A minimum of three years of hands-on experience in finance, accounting, or bookkeeping is required, with prior involvement in an NGO or international development context considered highly advantageous. A solid understanding of accounting principles and fundamental financial controls is essential. Proficiency in Microsoft Excel is essential, along with a solid working knowledge of the Microsoft Office suite. Familiarity with QuickBooks or an equivalent accounting system would be considered a plus. Demonstrates exceptional organizational ability and meticulous attention to detail. Demonstrated capacity to prioritize and execute multiple responsibilities efficiently while consistently adhering to strict deadlines in a dynamic, high-pressure setting. Strong interpersonal and communication skills, with proven effectiveness in multicultural team settings.
