About the Role The Administrative Assistant This role delivers extensive administrative support throughout the organization by organizing office operations, managing records and filing systems, drafting correspondence and reports, overseeing office supplies, facilitating procurement and logistics, coordinating meetings and travel arrangements, processing incoming communications, and assisting with facilities and asset management. Additionally, the position assists Human Resources with standard administrative tasks, ensures precise record-keeping, collaborates with vendors and service providers, and aids in optimizing administrative processes and enhancing office productivity. Candidates must possess strong organizational abilities, meticulous attention to detail, clear communication skills, sound judgment, and the capacity to handle multiple tasks efficiently in a dynamic setting. Key Responsibilities Deliver consistent administrative and clerical assistance to leadership teams and cross-functional departments on a daily basis. Ensure the office operates in an orderly, professional, and efficient manner at all times. Draft professional correspondence, reports, presentations, meeting minutes, and various business documents. Oversee incoming and outgoing correspondence, including emails, telephone calls, courier services, and general office communications. To manage meeting schedules, appointments, travel arrangements, accommodation, and conference logistics efficiently. Maintain meticulous physical and electronic filing systems, ensuring strict confidentiality and adherence to proper record retention protocols. Maintain and update company databases, employee records, and administrative documentation to ensure accuracy and compliance with organizational standards. Monitor inventory levels of office supplies and consumables, and oversee procurement processes to maintain uninterrupted operational workflows. Support procurement operations by managing purchase requisitions, liaising with vendors, and maintaining accurate invoice documentation. Establish and maintain effective communication channels with suppliers, contractors, and service providers to facilitate the fulfillment of administrative and office-related needs. Facility management responsibilities include overseeing office maintenance, coordinating repair work, managing utilities, ensuring cleaning services are delivered, and maintaining office equipment. Responsible for documenting and tracking company assets, including office equipment, furniture, and vehicle usage as required. Assist the Human Resources department by managing onboarding documentation, maintaining accurate attendance records, administering leave requests, and organizing employee files. Provide support in coordinating company meetings, workshops, training programs, and corporate events. Draft regular administrative reports and oversee departmental documentation to ensure accuracy and accessibility. Ensure adherence to all established company administrative policies and procedures. Preserve the confidentiality of sensitive data through adherence to ethical standards and professional conduct. To evaluate and implement enhancements in administrative processes and office operations to maximize efficiency. Handle any additional responsibilities as directed by Management. Requirements & Qualifications A bachelor’s degree in Business Administration, Public Administration, Office Management, Commerce, or a closely related discipline is required. Professional certification in Office Administration or Administrative Management is considered advantageous. Professional Experience Requirement: A minimum of two to five years of hands-on experience in administrative roles or office support functions is essential. A background in mining, construction, infrastructure, manufacturing, or related sectors would be advantageous. Professional candidates should possess prior experience in document management, office administration, travel coordination, procurement support, and records management.
