We are in search of a dynamic and proactive Executive Assistant who excels in relationship management to deliver comprehensive support to top-tier executive leadership. This role involves collaborating on global nonprofit initiatives, cultivating strategic partnerships, nurturing donor relationships, and contributing to organizational growth and development. Responsibilities: Oversee and strategically organize the executive’s schedule, including meetings, calls, appointments, and other commitments, ensuring optimal time management and alignment with priorities. Facilitate the seamless alignment of intricate schedules across diverse time zones and among global stakeholders. Develop and structure daily and weekly task lists to ensure efficient prioritization. Anticipate scheduling demands, potential conflicts, critical deadlines, and necessary follow-up actions. Filter and prioritize incoming requests to safeguard executive focus, ensuring critical matters receive prompt attention. Monitor and maintain ongoing communications and engagements with donors, foundations, corporate executives, business leaders, strategic partners, and key organizational stakeholders. Ensure prompt follow-up occurs after meetings, introductions, events, and international travel arrangements. Accurately document all relationship notes, action items, commitments, and follow-up tasks to ensure comprehensive and up-to-date records. Compile and present pertinent background information, historical context regarding relationships, and critical discussion topics to prepare executive leadership for upcoming meetings. Compose polished emails, meeting follow-ups, executive correspondence, progress updates, and donor communications. Exhibit professionalism, approachability, and a high degree of emotional intelligence in all interactions. Observe and accurately emulate the executive’s communication style and preferred tone in all written and verbal interactions. Provide assistance in developing presentations, proposals, reports, briefing documents, and partner communications. Efficiently bridge communication gaps among executive leadership, internal teams, and external stakeholders to ensure alignment and transparency. Facilitate high-impact strategic initiatives encompassing partnerships, fundraising, event coordination, international program development, and organizational expansion efforts. Monitor project obligations, including timelines, key decisions, pending tasks, and unresolved deliverables. Facilitate the planning and execution of both domestic and international travel itineraries. Handle all logistical arrangements for partner visits, executive meetings, and high-level strategic events. Ensure that key executives are thoroughly prepared in advance of all travel arrangements, scheduled meetings, and critical engagements. Ensure the integrity and precision of data stored in our CRM platform and other organizational systems. Enhance and streamline administrative workflows while establishing repeatable, efficient processes to drive operational consistency and productivity. Explore innovative ways to integrate technology and digital solutions to enhance executive efficiency and effectiveness. Requirements: Bachelor’s degree in Business Administration, Management, Communications, International Relations, Project Management, or a related field is preferred. Minimum 5+ years of experience supporting senior executives, founders, nonprofit leaders, or other senior leadership is preferred. Demonstrated experience managing complex executive calendars and competing priorities. Experience coordinating senior-level meetings, stakeholder relationships, projects, and executive communications. Proficiency in providing executive support across diverse geographical locations or varying international time zones is preferred. Proficiency in nonprofit organizations, philanthropic initiatives, donor engagement strategies, ministry work, international program development, or global organizational operations is highly advantageous.
