ROLE PURPOSE The Site Health Quality & Compliance Coordinator will oversee and enhance quality assurance, compliance, clinical governance, and administrative oversight across occupational health facilities and first aid stations at both the Kansas and Sentinel mine sites. This position seeks a highly organized, proactive, and detail-oriented professional capable of diligently following up on tasks, overseeing compliance standards, coordinating audit activities, maintaining precise documentation, and identifying, escalating, and resolving any deficiencies. The role involves close collaboration with the Chief Medical Officer and the Quality Assurance team. Manager To guarantee that site health services adhere to compliance standards, are effectively coordinated, ready for audits, and in line with MBHS standards, client expectations, and regulatory requirements. The ideal candidate will demonstrate initiative, exhibit strong administrative skills, apply sound clinical reasoning, and efficiently handle competing priorities in a dynamic healthcare setting. EDUCATIONAL REQUIREMENTS A skilled practitioner from a health profession who possesses substantial administrative expertise, a strong background in quality assurance, or extensive experience in healthcare compliance. A background or certification in healthcare administration is highly advantageous. Professional registration and a valid license to practice with the Health Professions Council of Zimbabwe (HPCZ) and/or the Nursing and Midwifery Council of Zimbabwe (NMCZ) are mandatory requirements.
EXPERIENCE
REQUIREMENTS Minimum six years of hands-on clinical experience is required. With a minimum of two years of hands-on experience in healthcare quality assurance, facility audits, clinical leadership, administration, compliance, accreditation, or healthcare operations, you will bring a strong foundation to this role. Proficiency in occupational health, emergency care management, first aid station supervision, or healthcare facility accreditation is desirable. KEY ROLE ACCOUNTABILITIES Quality Assurance and Compliance involves ensuring adherence to established standards, regulatory requirements, and organizational policies. This role requires meticulous attention to detail to identify discrepancies, mitigate risks, and maintain operational integrity. Professionals in this field are responsible for conducting audits, inspections, and assessments to verify compliance with industry-specific guidelines and legal mandates. Additionally, they must document findings, recommend corrective actions, and collaborate with cross-functional teams to implement improvements. Strong analytical skills, a thorough understanding of compliance frameworks, and the ability to interpret complex regulations are essential for success in this position. Oversee and synchronize quality assurance initiatives spanning occupational health facilities and first aid stations. Coordinate all routine facility audits and clinical compliance inspections in strict accordance with the guidelines set forth in the MBHS Comprehensive Audit Planner. Ensure adherence to MBHS standards, client specifications, national healthcare benchmarks, and all pertinent regulatory mandates, such as those set forth by HPCZ, MCZ, ZAMORA, RPA, and other governing bodies. Monitor audit findings, designate accountable individuals as needed, track the implementation of action plans, and confirm the resolution of non-conformances. Maintain and update quality dashboards, registers, and compliance trackers to facilitate ongoing quality improvement initiatives. Maintain the currency, accessibility, and implementation of Standard Operating Procedures (SOPs), standards, policies, forms, and other controlled documents. Compile quality and compliance reports on a monthly basis for submission to the Chief Medical Officer (CMO) and the Quality Assurance Manager. Escalate any recurring instances of non-compliance, risk, or delayed action closure to senior management for review and resolution. Facilitate clinical governance meetings, management reviews, inspections, and accreditation activities to ensure adherence to regulatory standards and organizational policies. Professional Rewrite: Support the management and operational oversight of occupational health facilities and first aid stations. Assist in the establishment and ongoing evaluation of quality standards within occupational health facilities and first aid stations. Perform both routine and unscheduled inspections to verify that facilities meet cleanliness, safety, and compliance standards while ensuring they are adequately supplied and fully operational. Maintain comprehensive records for licenses, certifications, equipment servicing, emergency equipment, consumables, incidents, training, and compliance-related activities. Ensure the operational readiness and functionality of critical equipment, emergency response assets, and clinical supplies are consistently maintained. Coordinate follow-up actions for maintenance tasks, procurement activities, equipment servicing, and facility-related concerns. Document and track identified gaps, ensuring they are pursued until fully resolved. SHE and QHSE Focal Point Responsibilities As the designated SHE (Safety, Health, and Environment) and QHSE (Quality, Health, Safety, and Environment) Focal Point, you will serve as a critical liaison between operational teams and management, ensuring adherence to established policies, regulations, and industry best practices. Your primary responsibilities will include conducting regular inspections, risk assessments, and audits to identify potential hazards, non-conformities, or areas for improvement, while also implementing corrective and preventive measures to mitigate risks. Additionally, you will be responsible for coordinating training programs to enhance employee awareness of safety protocols, emergency procedures, and environmental sustainability initiatives. You will investigate incidents, near-misses, and non-compliance issues, documenting findings and recommending systemic solutions to prevent recurrence. Collaboration with cross-functional teams will be essential to foster a culture of safety, quality, and environmental responsibility across the organization. Strong analytical, communication, and leadership skills are required to effectively influence stakeholders and drive continuous improvement in QHSE performance. Familiarity with international standards such as ISO 45001, ISO 14001, and ISO 9001 is highly desirable, along with relevant certifications in occupational health and safety or environmental management. Assist in the seamless integration and enforcement of the Company’s HSE and QHSE policies across all operational domains under MBHS’s jurisdiction. Monitor the workplace to identify and promptly report any potential hazards that could impact the safety of staff, facilities, or patients. Ensure immediate action is taken on any QHSE issues, suggestions, or recommendations identified through audits, inspections, or operational processes. Effectively communicate emergency response plans to applicable personnel, ensuring they are readily accessible and fully comprehended. Compile and deliver Health, Safety, and Environment (HSE) reports to the Quality Assurance Manager, ensuring submission is completed within the established timeframes. Foster an environment characterized by safety, accountability, and ongoing enhancement. 5. Infection Prevention and Control This role is responsible for implementing, monitoring, and enforcing infection prevention and control protocols to minimize healthcare-associated infections. Key responsibilities include developing and updating policies, conducting risk assessments, and educating staff on best practices. The position requires adherence to regulatory standards, collaboration with healthcare teams, and maintaining accurate documentation of infection control measures. Applicants must possess strong analytical skills, attention to detail, and a thorough understanding of infection control principles. Assist in the creation, execution, and evaluation of infection prevention and control policies, procedures, and standards. Perform comprehensive audits and risk evaluations pertaining to infection prevention and control protocols. Oversee the implementation of cleaning protocols, sanitation measures, disinfection procedures, hand hygiene standards, waste disposal methods, and infection control guidelines. Assess potential infection prevention risks and collaborate with appropriate teams to implement corrective measures. Conduct and support investigations into outbreaks or incidents involving healthcare-associated infections. Deliver or oversee educational initiatives focused on infection prevention and control practices for staff members. Engage in infection control committees by preparing and presenting reports on infection control initiatives and outcomes. Foster a robust culture of infection control and prevention among both staff members and patients. HR and Administrative Support for the Chief Medical Officer Provide comprehensive administrative assistance to the Chief Marketing Officer (CMO) concerning staffing, operational management, and logistical arrangements for occupational health facilities and first aid stations. Coordinate staff leave schedules, duty rosters, attendance tracking, and other workforce administration tasks as assigned. Accurately maintain all staff-related documentation, registers, and records to ensure compliance and integrity. Prepare and manage onboarding documentation and facilitate structured administrative orientation sessions for new hires. Professional Rewrite: Prepare and distribute meeting agendas, document key action items, and ensure their timely implementation through follow-up. Capture and document all follow-up tasks generated from management meetings, audits, inspections, and operational reviews. Compile monthly operational, administrative, and compliance reports to facilitate organizational oversight and decision-making. Responsibilities include managing secure and well-structured electronic and physical filing systems to ensure efficient document handling and retrieval. Facilitate seamless information exchange and collaborative dialogue among clinical, administrative, quality assurance, and management teams. Administration and Document Control responsibilities encompass the systematic organization, management, and oversight of documentation to ensure accuracy, compliance, and accessibility. This role involves maintaining up-to-date records, coordinating document revisions, and verifying adherence to established procedures and regulatory standards. Additionally, it requires meticulous attention to detail, proficiency in relevant software tools, and the ability to streamline workflows to enhance operational efficiency. Ensure adherence to established administrative policies, procedures, internal controls, and operational standards. Maintain registers for quality assurance, asset management, training records, incident reports, compliance documentation, equipment tracking, licenses, and certifications to ensure organizational standards and regulatory requirements are consistently met. Facilitate procurement follow-up processes to ensure alignment with both administrative and operational needs. Accurate, complete, and confidential record-keeping is essential, with strict adherence to secure maintenance protocols. Facilitate accreditation processes, ensure adherence to licensing mandates, and prepare regulatory submissions. Oversee the inventory and availability of office supplies and administrative resources to ensure operational efficiency. Maintain the currency of all policies, SOPs, forms, and controlled documents to ensure only the most recent versions are in use. Perform a variety of administrative tasks as directed by senior leadership to support operational efficiency and organizational goals.
