Role Description As a Clinic Accountant at Tusekelomo, the role involves delivering comprehensive Accounting and Financial services to the Finance Department. They consistently uphold a professional demeanor while delivering exceptional customer service to clients, visitors, healthcare professionals, and all employees of Tusekelemo. Educational Requirements A registered member of the Zambian Institute of Chartered Accountants (RICA) with a valid license is required for this position. Proficiency in Sage accounting software is considered beneficial. Key Role Accountabilities Compliance with Tusekelemo’s established financial policies and procedures is mandatory, ensuring strict adherence to the organization’s standard operating protocols within the finance department. Consistently upholds the Tusekelemo Code of Conduct while delivering professional, high-quality service in a courteous and friendly manner. Maintain a comprehensive understanding of accounting laws, rules, and regulations applicable in Zambia, and provide accurate, professional accounting advice to the Company’s employees. Remain informed of all financial laws and regulations applicable in Zambia, ensuring compliance with any updates or amendments introduced by the Zambia Revenue Authority (ERA) or other relevant government bodies. Ensures strict adherence to all applicable legal and regulatory requirements at all times, safeguarding the Company’s ongoing financial stability and compliance status. Investigate and resolve any discrepancies, queries, or issues pertaining to the company’s accounting records or client accounts, promptly escalating concerns to the supervisor for further action or follow-up. Prepare and submit monthly financial reports and statements to the Clinic on schedule. Manager Ensure all reports are delivered punctually and fully completed as requested. The candidate must demonstrate unconditional acceptance of the Tusekelemo confidentiality agreement, which covers patient details, staff information, and all aspects of Tusekelemo’s operations. Non-compliance with these terms may lead to disciplinary measures or termination of employment. Key Responsibilities Monitor accounts receivable and accounts payable on a daily, weekly, or monthly basis, as specified by the Clinic Manager, to ensure accurate financial tracking and reporting. Collaborate with the cashier to perform monthly reconciliations of receivables accounts, ensuring all discrepancies are promptly identified and escalated to the Supervisor for resolution. Maintain the asset register by accurately recording all acquisitions and disposals as they occur. Collaborate with clinic stakeholders to reconcile accounts payable accurately and efficiently. Ensure compliance of all payroll practices with applicable national laws and regulations. Compile and finalize payroll data no later than the 25th day of every month. Handle supplier and customer inquiries pertaining to accounts and financial matters. Fulfill all directives pertaining to the preparation and attendance of External Audit requirements in a timely and organized manner. Prepare and submit monthly reports to Chief Accountant Marybeth on a consistent basis. Handle any additional tax-related matters and file the necessary returns promptly. Perform additional tasks and responsibilities as assigned by the supervisor. Process and post all credit notes associated with both receivables and payables transactions. Review and record all inventory adjustments accurately in Sage Accounting. Post all salary Journals Prepare and deliver monthly returns for NASA, PAYE, and AHIMA, ensuring timely submission and subsequent payment processing. Before presenting for approval by the Clinic Manager, all quotations must undergo a thorough review. On a daily basis, authorized personnel should review and endorse petty cash disbursements to ensure compliance with established financial policies. Compile and file annual provisional income tax and workers compensation returns promptly. Address all inquiries submitted by the Internal Audit team in a timely and comprehensive manner. To guarantee full adherence, Tusekelemo must comply with all applicable national regulatory standards, including those set by the Council, Zambia Revenue Authority (ERA), Patents and Companies Registration Agency (SACRA), National Health Insurance Management Authority (AHIMA), National Pension Scheme Authority (NASA), Health Professions Council of Zambia (HPCZ), and workers’ compensation regulations. Professional A minimum of 3 to 5 years of professional experience in accounting or financial management within a healthcare environment or a mid-sized Zambian enterprise is required. Participate in mandatory internal training seminars as directed by the Chief Accountant. Proficiency in mathematics and accounting is essential for this position. Collaborates efficiently with colleagues across the finance and healthcare departments to achieve shared objectives. Demonstrate exceptional communication skills by interacting with clients and staff in a polished, professional demeanor at all times. Capable of professionally handling challenging client interactions while maintaining composure and adherence to company standards. Skilled in utilizing the Microsoft Office Suite proficiently. It is crucial to foster a culture of collaboration and teamwork within our organization.
