We are in search of an organized and meticulous Operations Specialist to assist with our drug and alcohol testing operations. The successful candidate will oversee testing workflows, maintain precise records, provide client support throughout the testing process, and ensure adherence to industry regulations and company standards. Responsibilities: Process and track image chain of custody forms as well as breath alcohol test documentation. Accurately and promptly, input breath alcohol test results into internal databases. Please submit the chain of custody forms and any necessary supporting documentation. Monitor drug screening outcomes in collaboration with laboratories, ensuring timely follow-ups until all results are finalized. Verify that laboratory findings align with submitted test requests and address any inconsistencies that arise. Prepare and submit superior test requests while maintaining thorough documentation for each case. Prepare, complete, and track all necessary affidavits to ensure timely submission and compliance with established protocols. Track missed appointments and notify clients immediately about their failed tests. Respond to client inquiries received through phone calls and emails in a timely and professional manner. Guide clients seamlessly through every phase of the drug testing process, ensuring meticulous specimen tracking and adherence to strict reporting timelines. Deliver exceptional customer service in a prompt, courteous, and professional manner. Maintain client satisfaction by addressing and resolving their concerns effectively, thereby fostering a consistently positive customer experience. Provide clients and partners with support for portal access and issue resolution, encompassing login challenges and data entry discrepancies. Ensure ongoing familiarity with Department of Transportation (DOT) regulations and the company’s established testing procedures and guidelines. Verify that all testing activities adhere to relevant regulatory standards and organizational policies. Ensure meticulous documentation of every client interaction in the CRM system with precision and accuracy. Accurately compile, upload, and maintain various testing reports as part of the administrative process. Ensure all documentation is meticulously prepared, fully accurate, and maintained in a state of readiness for audits. Evaluate performance in relation to predefined operational objectives and productivity benchmarks. Requirements: A Bachelor’s or Diploma in Business Administration, Operations Management, Healthcare Administration, Public Health, or a related discipline is required. Professional experience of an equivalent nature will also be deemed acceptable in lieu of formal qualifications. A minimum of two years of professional experience in operations, customer service, healthcare administration, compliance, or a comparable administrative capacity is required. Demonstrated expertise in overseeing and optimizing high-volume administrative processes and workflows. Proficiency in laboratory services, healthcare operations, or regulated environments is highly desirable. Demonstrates expert-level skills in Microsoft Office Suite, with an emphasis on Excel, Outlook, and Word. Proficiency in utilizing CRM systems and operational databases is required. We maintain a
