Managed Pharmaceutical Services & Operational Excellence Responsible for overseeing all aspects of medication management and ensuring the efficiency of pharmacy operations. Duties include maintaining accurate medication records, adhering to regulatory standards, and optimizing inventory control to prevent shortages or overstocking. Additionally, the role involves coordinating with healthcare providers to ensure timely dispensing of prescriptions and supporting clinical decision-making through expert pharmaceutical knowledge. Direct the pharmacy department’s daily functions, maintaining efficient workflows while ensuring strict adherence to all regulatory and institutional requirements. Oversee the acquisition, secure storage, distribution, and meticulous monitoring of controlled substances in full compliance with all applicable laws and organizational policies, ensuring precise record-keeping and transparent audit trails. Monitor stock quantities and expiration dates throughout the pharmacy and ward areas to ensure efficient inventory control and reduce unnecessary waste. Direct the medication disposal initiative by organizing a single, coordinated disposal event in partnership with the laboratory and ward teams, conducted annually or biannually. Identify, assess, and address medication-related discrepancies to minimize errors while cultivating a robust safety culture throughout the pharmacy and clinical wards. Conduct the hospital’s yearly forecasting and quantification process for pharmaceutical and laboratory commodities. Procurement & Quality Assurance The role involves overseeing the acquisition of goods and services while ensuring adherence to quality standards. Responsibilities include negotiating contracts, evaluating supplier performance, and maintaining compliance with regulatory requirements. Additionally, the position requires implementing robust quality control measures to verify product integrity and mitigate risks throughout the supply chain. Candidates must possess strong analytical skills, attention to detail, and experience in procurement methodologies or quality management systems. Source and procure pharmaceutical products and related supplies from pre-approved vendors, ensuring an optimal balance between cost efficiency and the consistent availability of high-quality, dependable products. Perform thorough quality assurance and quality control inspections on incoming pharmaceutical products to verify compliance with established standards prior to dispensing. Processes import permits, with a primary focus on international donations, in coordination with pertinent regulatory authorities. Provide compassionate patient care and deliver comprehensive clinical support to ensure optimal healthcare outcomes. Oversee patient medication records via the Electronic Medical Record (EMR) system while handling ward requisitions within a fully computerized operational framework. During ward rounds, collaborate with the medical team to provide specialized pharmaceutical insights that support patient care decisions. Develop customized patient care plans in partnership with healthcare professionals. Review medication orders and treatment plans to detect and mitigate potential drug-drug interactions, as well as other medication-related safety concerns. 4. Pharmacovigilance We will oversee pharmacovigilance initiatives throughout the hospital, ensuring staff are proficient in identifying, documenting, and reporting adverse drug reactions (ADRs) while promoting safe medication practices through structured training programs. Compile pharmacovigilance reports and assist in monitoring and assessing medication safety trends to support evaluation efforts. Act as a primary source of reliable drug safety information for healthcare professionals. Regulatory Affairs & Compliance professionals are responsible for ensuring that an organization adheres to all relevant laws, regulations, and industry standards governing its operations. Key responsibilities include monitoring changes in regulatory requirements, preparing and submitting regulatory submissions, maintaining compliance documentation, and conducting audits to verify adherence to applicable guidelines. This role also involves liaising with regulatory agencies, internal stakeholders, and external partners to facilitate smooth compliance processes and address any potential issues proactively. Additionally, professionals in this field must stay current with evolving regulations, assess their impact on business operations, and implement necessary adjustments to maintain compliance. Strong attention to detail, analytical skills, and the ability to interpret complex regulatory texts are essential for success in this position. Ensure regulatory compliance for pharmacy operations by overseeing adherence to standards set by the Zambia Medicines Regulatory Authority (ZAMORA), Zambia Environmental Management Agency (FEMA), Health Professions Council of Zambia (HPCZ), and other pertinent regulatory bodies. Ensure a thorough understanding of current pharmaceutical legislation, regulatory directives, and industry standards to uphold institutional adherence and operational integrity. Engage in both internal and external audit processes, proactively addressing any identified findings while executing recommended enhancements to strengthen operational compliance and efficiency.
