We are in search of an Operations Specialist with exceptional organizational skills and meticulous attention to detail to assist with our drug and alcohol testing operations. The successful candidate will oversee testing workflows, uphold precise record-keeping practices, provide client support throughout the testing process, and ensure adherence to industry regulations and company policies. Responsibilities: Process and track image chain of custody forms alongside breath alcohol test documentation to ensure accurate record-keeping and compliance with established protocols. Record breath alcohol test results into the internal database system with precision and efficiency. Prepare documentation, including chain of custody forms and any other required materials, ensuring all submissions are complete and accurate. Track and ensure completion of drug screening results in collaboration with laboratories, following up as necessary. Review laboratory results against associated test requests to address and reconcile any inconsistencies. Prepare and submit comprehensive test requests while maintaining thorough documentation for each case. Prepare, complete, and track all necessary affidavits to ensure compliance and timely submission. Monitor scheduled appointments for any instances of non-attendance and immediately inform affected clients of any missed test requirements. Professionally manage incoming telephone communications and address client inquiries through both phone and email correspondence. Facilitate clients’ navigation of the drug testing procedure, overseeing specimen tracking and ensuring adherence to reporting timelines. Deliver courteous, efficient, and prompt customer service at all times. Address client inquiries and resolve any concerns promptly to maintain high levels of customer satisfaction and foster positive interactions. Provide support to clients and partners in navigating the portal, resolving access-related challenges such as login difficulties and data entry errors. Stay current on Department of Transportation regulations and all company-defined testing procedures. Verify that all testing procedures adhere to relevant regulatory standards and organizational policies. Maintain comprehensive and precise records of all client engagements in the CRM system. Accurately compile, submit, and maintain various testing reports to ensure proper documentation and tracking of results. Verify that all documentation is thorough, precise, and prepared for audit review. Evaluate performance in relation to predefined operational objectives and productivity benchmarks. Requirements: A Bachelor’s or Diploma in Business Administration, Operations Management, Healthcare Administration, Public Health, or a related discipline is required. Relevant professional experience of comparable duration will also be evaluated. A minimum of two years of professional experience in operations, customer service, healthcare administration, compliance, or a related administrative field is required. Seasoned professional with a proven track record in overseeing large-scale administrative processes and high-volume operational workflows. Proficiency in laboratory services, healthcare operations, or regulated environments is highly beneficial. Skilled in utilizing the Microsoft Office Suite, with a strong emphasis on Excel, Outlook, and Word.
