We are currently recruiting for the position of Operations Specialist, requiring a meticulous and systematic professional to facilitate our drug and alcohol testing services. The successful candidate will oversee testing workflows, uphold precise record-keeping, provide client assistance throughout the testing journey, and ensure adherence to regulatory mandates and organizational benchmarks. Responsibilities: Manage image chain of custody forms and breath alcohol test documentation, ensuring proper processing and monitoring throughout. Record breath alcohol test outcomes into the company’s internal database systems with precision and efficiency. Please ensure that all chain of custody forms and necessary documentation are obtained and completed. Oversee the processing of drug screening outcomes in collaboration with external laboratories, ensuring all results are received and verified until finalization. Review laboratory findings to ensure accurate alignment with submitted test requests, addressing and rectifying any inconsistencies. Prepare and submit comprehensive test requests, maintaining meticulous documentation for each case to ensure accuracy and completeness. Prepare, execute, and ensure the completion of all necessary affidavits, including timely processing and diligent follow-up to maintain compliance and accuracy. Diligently track instances of missed appointments and immediately inform clients regarding any unfulfilled tests. Professionally handle incoming telephone calls and address client inquiries through both phone and email correspondence. Guide clients seamlessly through every phase of the drug testing process, from meticulous specimen tracking to adherence to strict reporting timelines. Deliver exceptional customer service with professionalism, efficiency, and a courteous demeanor. Handle client inquiries and issues promptly to maintain a satisfactory customer experience. Provide clients and partners with portal support, addressing access challenges, login difficulties, and data entry errors as needed. Maintain up-to-date expertise in Department of Transportation (DOT) regulations, as well as company-established testing procedures. Verify that all testing procedures adhere strictly to relevant regulatory standards and organizational policies. Document every client interaction meticulously and accurately using the CRM system. Responsible for accurately compiling, uploading, and maintaining random testing reports. Ensure that all documentation is meticulously prepared, precise, and fully compliant with audit standards. Evaluate performance in relation to predefined operational objectives and established productivity benchmarks. Requirements: Hold an Associate degree or higher in Business Administration, Operations Management, Healthcare Administration, Public Health, or a comparable discipline. Professional experience of an equivalent nature will also be deemed acceptable for consideration. A minimum of two years of relevant professional experience in operations, customer service, healthcare administration, compliance, or a comparable administrative capacity is required. Demonstrated expertise in overseeing large-scale administrative processes with efficiency and precision. Proficiency in laboratory services, healthcare operations, or regulated environments is highly desirable. Demonstrated expertise in utilizing the Microsoft Office Suite, with a strong emphasis on Excel, Outlook, and Word.
