Senior Collateral Management Specialist

Job Location: Head Office

Job Purpose: To facilitate efficient and compliant administration of all collateral documentation under Collateral Management Agreement structures, including the verification and fulfillment of all credit-related Conditions Precedent prior to processing any drawdown requests or releases. Additionally, to collaborate with internal and external stakeholders—such as Credit, Trade Finance, Legal, Business Units, and Collateral Managers—to coordinate end-to-end collateral management activities, ensuring smooth, timely, and compliant drawdown processing and overall facility operations. To ensure the integrity and currency of collateral records, this role involves overseeing the continuous monitoring of collateral requirements, including accurate registration, secure custody, proper release, timely substitution, and precise revaluation—all in strict adherence to approved credit terms, applicable regulatory guidelines, and established internal policies.

Main Responsibilities:

Verify that all credit approval terms and mandatory Condition Precedents (CPs) outlined in Collateral Management Agreements (CMA) facilities are satisfied prior to forwarding drawdown requests to Credit Operations. Ensure thorough completion, validity, and compliance of all CMA documentation, including Tripartite agreements, stock reports, insurances, contracts, and related materials. Ensure meticulous verification and maintenance of accuracy for CMA documentation, stock reports, insurance, and all collateral-related requirements prior to any stock utilization or release. Responsibilities include reviewing collateral quality by analyzing CMA stock reports and promptly resolving any discrepancies that may arise. Maintain precise records of collateral entries in the core banking system and Collateral Management Tool Tracker Documents, ensuring stock values, insurance coverage, and other critical parameters remain current.

Maintain adherence to CMA protocols, risk management frameworks, regulatory mandates, and internal audit directives. Responsible for facilitating collaboration and communication with external stakeholders, including auditors, regulators, and collateral managers, particularly when collateral verification procedures are necessary. Coordinate engagement meetings with Collateral Managers by scheduling sessions, developing comprehensive agendas, compiling necessary documentation, and ensuring all agreed-upon action items are pursued and completed. The incumbent will oversee the regular performance evaluations of collateral managers, pinpoint any deficiencies or operational shortcomings, and propose corrective measures or escalations as required. Handles the reconciliation of CMA stock positions by verifying them against borrower utilization and approvals. Promptly bring to attention any anomalies, inconsistencies, variances, or early warning indicators identified in stock reports or during warehouse inspections.

Knowledge and Skills:

Possesses a solid grasp of various collateral types, Collateral Management Agreement (CMA) structures, warehouse receipt methodologies, and stock financing mechanisms. Demonstrates a solid grasp of collateral management principles, including security perfection and registration procedures. Demonstrates a comprehensive grasp of credit operations, including the preparation and review of credit approval documentation and the practical application of lending processes. Proven expertise in implementing and adhering to control frameworks, risk management methodologies, and regulatory audit standards specifically applicable to collateral management and CMA facilities. Proven analytical capabilities and meticulous attention to detail are essential, supported by a demonstrated aptitude for thorough document review and the enforcement of strict adherence to established processes and controls. Demonstrates exceptional proficiency in clear and concise communication, meticulous documentation practices, and effective stakeholder engagement strategies. Proficient in analyzing and understanding the specific terms associated with credit approvals as well as the conditions related to collateral. Skilled in utilizing Microsoft Office applications and core banking systems effectively. Demonstrates exceptional composure and efficiency when managing high-pressure situations and adhering to stringent time constraints.

Qualifications and Experience:

A Bachelor’s Degree in Finance, Banking, Agribusiness, Risk Management, Economics, Law, or a closely related discipline is required. With a minimum of three years of professional experience, preferably within the banking or financial services sector, candidates should demonstrate expertise in risk management, compliance, credit operations, or collateral management. Demonstrates extensive hands-on experience with collateral management systems and secured lending operations, with expertise in collateral administration and regulatory compliance oversight. Candidates with prior exposure to Collateral Management Agreements (CMA’s) and warehouse receipt financing will be given preference.
