One Acre Fund – DRC Accounting and Payments Coordinator (CDD) About the role The Accounting and Payments Coordinator supports the operations of One Acre Fund DRC by ensuring timely, accurate and duly authorized payments, complete expense documentation and reliable financial records on all program sites.

Responsibilities

Processing of payments Review payment requests submitted by services to verify that they are complete, accurate, accompanied by supporting documentation and required approvals, in accordance with internal policies. Determine the appropriate payment method (bank transfer, cheque, cash or approved mobile payment channel) based on internal procedures, transaction requirements, security considerations and available funds.

Other information

Prepare bank transfers, cheques and other payment instructions for authorized approval and release; Monitor payments until they are confirmed, investigate failed or delayed transactions and keep proof of payment. Support the purchasing department in assessing suppliers’ payment terms, including payment methods, advances and on-delivery payments. Keep requesting services informed of payment status, missing documents and anticipated delays, including changes to agreed service times. Expenditure documentation and early reconciliation Maintain a record of advances to staff and suppliers, including responsible parties, required supporting documents, reconciliation timelines and outstanding balances. Collect and review advance bank reconciliations and expense reports to confirm that expenses are justified by a complete, valid and consistent record. Follow-up with suppliers on unpaid invoices, billing discrepancies and clarification requests, in coordination with the purchasing department and requesting services as required. Report late reconciliations, unresolved discrepancies and recurring document gaps to the lead. Maintain organized and accessible records of payment and expense documents, linking applications, approvals, invoices, receipts, reconciliation forms and proof of payment in accordance with document retention requirements. Cash management Coordinate approved allocations and transfers of funds between sites to meet operational needs while maintaining appropriate transaction records. Ensure the management of the cashier's office Kinshasa, ensuring the security of funds, disbursements on presentation of approved documents, timely recording of transactions and daily reconciliation of accounts. Identify concrete opportunities to reduce the use of cash and promote approved electronic payment methods without disrupting field operations. Reconciliation of accounts Prepare monthly reconciliations for all bank and cash accounts in the country, including all sites, within agreed closing times. Conduct weekly reconciliations of receipts received by mobile payment, where applicable, with transaction records and associated settlements.

Location

Maintain accurate accounting records, including the rental contract register, capital asset register, non-locked equipment register, etc. Provide the global accounting team with timely, comprehensive and relevant documentation and explanations for transaction recording, monthly closing and financial reporting. Respond to accounting questions and coordinate corrections with the global accounting team, seeking the manager’s advice on complex or judgmental issues.
