Guest Experience Representative

Responsabilités

We are in search of a diligent and customer-focused Floor Ambassador to ensure a strong floor presence, enhance the visitor experience, and facilitate seamless daily office operations. This position integrates responsibilities from front-of-house reception, security protocols, facilities management, and operational support. Responsibilities: Ensure a consistently professional and visible presence is maintained throughout all designated office floors. Perform routine inspections of the facility to detect any potential security risks, operational inefficiencies, compliance issues, or maintenance deficiencies. Observe and assess workplace activities to detect any irregular or unauthorized movements promptly. Maintain strict adherence to predefined access and workplace protocols for all employees and visitors. Promptly elevate security incidents, facility-related issues, or operational risks to the appropriate channels for resolution. Greet employees, clients, visitors, and guests in a professional and courteous manner. Oversee the complete end-to-end management of visitor arrivals, registration procedures, access control, and departure protocols. Verify visitor appointments and liaise with appropriate staff members or teams to ensure seamless coordination. Assist guests in locating the correct meeting rooms, departments, or individuals they need to visit. Provide visitors with a courteous and uninterrupted experience from the moment they arrive until the time they depart. Oversee and regulate entry and exit of personnel and guests to designated office spaces. Oversee the issuance, return, and replacement processes for employee access tags, ensuring accurate tracking and management throughout their lifecycle. Please promptly report any lost, missing, or potentially compromised access credentials. Handle the provisioning and provisioning of system access for both new hires and departing employees in accordance with established security protocols and organizational guidelines. Provide support for the biometric registration and setup process for Sunshade team members. Assess and maintain the overall state and functional preparedness of office environments. Conduct routine floor inspections to promptly identify any facility, equipment, or housekeeping issues, and ensure these concerns are documented and escalated to the appropriate team for resolution. Diligently monitor and address reported issues to guarantee prompt resolution. Assist in the oversight and administration of employee shuttle services to ensure efficient operation and reliable transportation for staff. Maintain precise documentation of shuttle routes and the total kilometers driven. Convey transportation-related updates or modifications to pertinent stakeholders in a timely and informative manner. Transportation issues such as delays, routing obstacles, or other related concerns should be promptly escalated for resolution. Ensure strict compliance with HIPAA regulations, maintain confidentiality and security protocols, and uphold all workplace policies. Observe floor operations to ensure the prevention of unauthorized disclosure of sensitive data. Requirements: A Bachelor’s degree or diploma in Security Management, Business Administration, Facilities Management, Hospitality, Operations Management, or a closely related discipline is advantageous. Desired candidates should possess prior experience in security, reception duties, front-office operations, facilities coordination, hospitality, or administrative roles within a workplace setting. A background in a corporate or professional office setting is highly beneficial. Proficiency in access control, visitor management, or biometric systems is advantageous. Proficiency in confidentiality protocols, data privacy standards, or HIPAA compliance is considered a valuable asset.
