Finance and Administration Assistant (One Position Available)

The selected candidate will provide comprehensive support to the finance and administration teams, ensuring efficient day-to-day operations. Responsibilities include managing financial records, processing transactions, preparing reports, and handling administrative tasks such as correspondence, scheduling, and document organization. The ideal candidate will possess strong numerical and organizational skills, proficiency in accounting software and Microsoft Office Suite, and the ability to work independently with minimal supervision. A high school diploma or equivalent is required, along with prior experience in a similar role. Excellent communication and problem-solving abilities are essential for success in this position.

The position is accountable to the Finance Officer, ensuring alignment with financial governance and strategic objectives. Duties will be performed primarily at the Mono field office.

Purpose of the Role

The administrative assistant will oversee daily financial operations, general administration, inventory management, logistics, procurement, and human resources functions for the Mono Field Office. Your responsibilities encompass a comprehensive range of tasks, including the following key areas:

Greet and assist guests at the reception desk with professionalism and efficiency. Responsibilities include managing office operations to maintain an organized and efficiently functioning work environment. Provide administrative assistance for organizing meetings and managing communications at the field level. Provide assistance with various HR operations such as coordinating interviews, facilitating employee onboarding, and maintaining accurate employee records, ensuring all documentation is submitted to HR in a timely manner. Maintain meticulous daily attendance records to ensure their completeness and accuracy, which will be utilized for monthly HR reporting.

The ideal candidates for these positions will be responsible for overseeing store operations and ensuring efficient logistics management, transitioning from a Store Manager role to a Logistics Officer position. Ensure the efficient and seamless functioning of daily store operations and administrative tasks, maintaining high standards of management and operational excellence. Oversee inventory levels, monitor stock movements, and perform daily stock reconciliations to ensure accuracy and alignment with operational needs. Compile the monthly stores report and ensure it is ready for submission to the Logistics Officer.

Handle financial operations and oversee procurement processes to ensure efficient resource allocation and cost-effectiveness. Manage budgeting, financial reporting, and vendor relationships while adhering to organizational policies and regulatory standards. Identify cost-saving opportunities and negotiate favorable terms with suppliers to optimize expenditures. Collaborate with cross-functional teams to align financial strategies with procurement goals and support informed decision-making. Strong analytical skills and attention to detail are essential for maintaining accurate records and mitigating financial risks.

Oversee the administration, disbursement, reconciliation, and record-keeping of petty cash funds distributed each month. Promptly follow up on outstanding invoices for delivered goods to expedite payment processing, and submit them to the Procurement Officer without delay. Responsibilities include scanning and distributing requisitions submitted by the project team for onward processing by the accounting department. Provide support to accountants by conducting accountability follow-ups with Project Coordinators.

Fleet management positions involve overseeing the operational, logistical, and administrative aspects of a company’s vehicle fleet. Responsibilities include maintaining accurate records of vehicle maintenance, usage, and fuel consumption, as well as ensuring compliance with regulatory standards and safety protocols. Professionals in this role coordinate vehicle assignments, track performance metrics, and optimize fleet efficiency through strategic planning. Additionally, they manage vendor relationships for repairs, replacements, and other fleet-related services. Strong analytical skills are essential for analyzing cost-saving opportunities and making data-driven decisions. Excellent organizational and communication abilities are required to collaborate with drivers, management, and external stakeholders effectively. Familiarity with fleet management software and telematics systems is typically necessary to streamline operations and enhance productivity.

Upon receiving an approved work plan, movement plan, and log sheet, fuel vouchers must be issued for submission to the Logistics Officer. Responsibilities include receiving, validating, and forwarding all completed Fleet Utilization documents and logbooks to the designated Logistics Officer for review and processing.

Ensure maintenance requests and defect forms are accurately received and verified before being forwarded for further action. Monthly, fuel schedules must be gathered from each station to facilitate reconciliation by the Logistics Officer. Monthly fuel consumption and repair records must be submitted to the Logistics Officer for review and documentation. Handle additional responsibilities as assigned by management from time to time.
