Administrative Officer Intern (1 position) This role is designed for an organized and proactive individual to support administrative functions within our organization. The successful candidate will assist with a variety of clerical tasks, including document preparation, filing, and data entry, while maintaining efficient office operations. Strong communication skills and attention to detail are essential, along with proficiency in standard office software. Additionally, the intern will collaborate with team members to streamline processes and contribute to daily administrative workflows. This position offers an opportunity to gain hands-on experience in a professional environment while developing key organizational and operational skills. Job Purpose The primary responsibilities associated with this position encompass, but are not limited to, the following: Monitor buildings, grounds, and facilities by observing their condition and documenting any necessary details for reporting purposes. Collaborate with maintenance personnel to arrange and execute scheduled inspections and repairs. Assemble and oversee property-related documentation and calendars to ensure accuracy and timeliness. Prepare lease agreements in collaboration with relevant parties. Collaborate on the development and execution of departmental insurance strategies to ensure comprehensive coverage and risk mitigation. Assist in the preparation of documentation pertaining to risk evaluations and coverage analyses. Assist in managing the administration of insurance claims, documentation, and policy renewals. Professional Rewriting: Facilitate communication and cooperation with insurance service providers and other relevant stakeholders as directed. Provide support in the formulation and administration of budgets pertaining to insurance premiums and claims. Provide support for budget planning initiatives that comply with established legal services guidelines. Provide support in overseeing the expenditure of the approved budget to ensure that all Sections comply with their allocated financial resources. Contribute to cost management initiatives by pinpointing avenues for expenditure reductions and streamlining operational processes. Under the supervision of senior staff, provide support in the preparation and review of requisitions, payment requests, and financial reports. Provide support in evaluating and preparing insurance policy wordings, contracts, and agreements. You will be responsible for managing all logistical aspects of meetings, workshops, and departmental events, ensuring seamless planning and execution. Monitor attendance records, oversee leave schedules, and assist in maintaining accurate staff performance documentation. Oversee the assigned administrative duties performed by support staff, including messengers, cleaners, and drivers. Maintain adequate inventory levels of office supplies and operational equipment to support daily workflows. Provide support in the oversight and administration of cleaning and sanitation contracts. Ensure adherence to all contractual terms and conditions. Provide support in tracking and evaluating contract performance, as well as compiling and submitting detailed performance reports. Maintain accuracy and currency in all contract records and files. You will support the upkeep of a current fleet register. Monitor vehicle documentation and maintenance timelines while facilitating repairs and inspections as directed. Facilitate the administrative procedures for renewing road tax and insurance for departmental vehicles. Assist in overseeing vehicle registrations, licenses, and permits. To qualify for this role, applicants must satisfy the following essential criteria: Earned a Grade 12 School Certificate or an equivalent qualification. A relevant academic background, such as a degree in Business Administration, Public Administration, or an equivalent field, is required. Insurance qualification added advantage.
