Consultant for Video Documentary of Light Up Hope Programs

Light Up Hope Africa, a non-governmental organization (NGO/PBO) dedicated to improving the lives of communities in Africa, is seeking the services of a qualified consultant to produce documentaries for our three Programs (WOVEN University, School Feeding, and Students Sponsorship).

Scope of Work:

The videographer's responsibilities will include, but not be limited to:

Pre-Production:

Collaborate with the LUH Africa teams to understand the organization’s documentary requirements, objectives, schedules, and key moments to capture. Determine the equipment and resources required for the project.

Filming:

Record high-quality video footage of all significant activities, including workshops, family and student empowerment, community engagement, agricultural interventions, school meals delivery and service, students and community mentorship and training, interviews, recording at homesteads and schools, and any special events. Record interviews with beneficiaries, stakeholders and key staff. Ensure proper framing, lighting, and audio quality throughout the shoots.

Still Photography:

Capture high quality still photography of all significant activities. Capture candid moments and interactions among students and other participants to convey the program intervention areas. Capture individual, small groupings and large group posed photographs, some including staff and some without staff. Ensure proper framing, lighting and quality throughout the shoots.

Final Deliverables:

Edit the footage into a cohesive and engaging story of how Light Up Hope “lights the path out of poverty” - total running time not exceeding 20 minutes (Should include the WHY of the work, Impact so Far and ongoing need for financial support to help more students/communities). Produce short snippets/clips not exceeding 4 minutes, of captivating recordings that can be shared on YouTube AND 30 second to 2 min to be shared on other social media platforms. Provide 4 (5-7 minute) edited video highlighting each of the four main impact achievements for this year for each program as determined by Comms team input (High School Program, University Program, School Feeding Program, Sustainable School Meals). Provide 1 (5-7 minute) edited video highlighting the ongoing need in the community of rural Kajiado. Add appropriate background music, transitions, and text overlays to enhance the video's storytelling. Incorporate feedback from the team during the editing process. Provide LUH with the final edited video and photographs in a suitable format for online sharing and distribution. Additionally, provide any raw footage or supplementary materials as requested by the client.

Timeline:

For the first engagement, the videographer is expected to be available over the timelines indicated below: 2nd to 3rd September, 2026 in Kajiado South to capture the need of the community and ongoing impact of the organization's work. Additional engagements and filming dates to be coordinated with Light Up Hope. Additional filming engagements to be identified and contracted on an ongoing basis as needed for up to two years. Short clips/snippets (1 - 2 minutes promotional videos) highlighting key moments for each of the activities covered should be shared within 1 week after each coverage. The FINAL edited videos and photos should be delivered to LUH Africa no later than 15th October 2026.

Equipment:

The videographer should have their own equipment, including high-quality cameras, audio recording devices, stabilizers, and necessary accessories, as well as editing and post production equipment. Possession of and knowledge in the control and usage of a drone for videography purposes is highly preferred.

Location:

Kajiado South around Kimana and Emali for first project. Kajiado Central - rural areas as well as high schools. Nairobi - including on campus. Future Additional locations around Kenya to be determined in collaboration with the programs teams.

Qualifications:

Demonstrated experience in storytelling, videography and video editing, with a portfolio showcasing previous work. Strong communication and collaboration skills to work effectively with the LUH Africa communications team, staff and beneficiaries.

Budget:

Please provide a detailed cost estimate for the entire project, including videography services, transportation, accommodation, and post-production fees. Costs should identify all applicable taxes and any reimbursable expenses separately.

Payment Schedule:

Payment will be made in a maximum of two (2) installments based on agreed upon milestones and deliverables. Any advance payment shall comply with LUH-A’s procurement policy, including applicable approval requirements and limitations on advance payments. The final payment schedule and percentages will be specified in the contract prior to execution.

Selection Criteria:

Proposals will be evaluated based on their technical qualifications, relevant experience, portfolio quality, methodology, proposed timing, financial proposal, and overall value for money.

LUH Africa Support:

LUH Africa will provide all the necessary support to ensure quality and timely delivery of the work, including providing all the necessary information to enable this. Additionally, we will have our own internal communications staff available as an assistant to cover the aspect of photography and any support the consultant might require.
