Employee Contract Type: Local – Fixed Term Employee (Fixed Term) Job Description: Procurement (35%)

• Facilitating discussions with suppliers through the established procurement committee to negotiate terms and agreements. Provide technical assistance to the tender committee and serve as the secretary for the procurement committee.
• Developing and issuing requests for proposals Ensuring the timely completion of purchase requests in alignment with the agreed-upon timeline.

Managing relationships with suppliers Overseeing staff interactions and maintaining effective communication throughout the procurement cycle is essential to fostering collaboration and ensuring alignment with organizational objectives. Proficient in understanding and implementing Vendor Financial Transactions (VFT) policies and procedures for all procurement activities. A dedicated professional is tasked with formulating annual procurement plans in collaboration with various departments, guaranteeing adherence to compliance standards and established procedures. Compile and deliver comprehensive procurement reports along with tracking tools to the senior management team for timely review and decision-making. Responsibilities include detecting potential indicators of fraudulent activity and promptly notifying the relevant personnel or department for further investigation. Conduct comprehensive market analyses and collaborate with the procurement committee to assess cost-effectiveness and value for money across all goods and services procurement initiatives.

• Fleet Management and OSHA (35%) The incumbent will oversee fleet operations and ensure adherence to all regulatory requirements, including staff training and compliance with statutory laws such as speeding regulations and driver’s permit standards. The role involves coordinating head office staff travel arrangements, ensuring all trips are executed in accordance with approved travel plans. We oversee the fleet management system to ensure adherence to protocols, identifying and documenting any driver deviations, and generate detailed reports highlighting these lapses for corrective action. Establish and nurture collaborative relationships with all fleet partners to ensure the vehicles and motorbikes provided consistently meet transportation and equipment requirements. Promote responsible management by maintaining control over all VFT motor vehicles, motorcycle spare parts, lubricants, fuel coupons, and other fleet-related items through the utilization of the Fuel and Repairs Tracking Tool. Enforce internal controls by ensuring strict adherence to all established fleet policies and procedures throughout business transactions. Organize and oversee the systematic filing and management of an array of fleet documentation, including vehicle and motorbike records, fuel and repair reports, inspection certificates, transfer documents, used logbooks, and other related materials. Develop comprehensive reports to meticulously track and analyze fuel and repair costs, ensuring thorough management oversight. Collaborate with fellow drivers to uphold safety standards across all fleet and organizational assets while ensuring the proper operation of the GPS system. Ensure compliance with all Occupational Safety and Health Administration (OSHA) regulations and prioritize staff welfare to uphold a secure and healthy work environment. Professional Rewriting: You will be responsible for organizing and maintaining all documentation while ensuring the proper filing of critical documents, including OSHA compliance records. We are responsible for overseeing all first aid providers across our business centers and verifying that their certifications remain current and valid. Coordinate annually with the OSHA headquarters to finalize all required procedures for securing compliance certificates across each business center. Ensure compliance by verifying that all business centers maintain current, valid business licenses in adherence to local regulatory requirements, and promptly facilitate license renewals as mandated. Communication and Reporting (30%) On a weekly basis, I prepare and distribute Share Requisition Updates to Senior Management Team (SMT), ensuring they are informed of progress and any pending actions.
• Maintain and annually update the Suppliers list, ensuring it is shared with Senior Management Team (SMT) in a timely manner.
• Coordinate tender meetings and distribute timetables and meeting schedules in a clear and timely manner. Compile and distribute the minutes of the Tender Committee meetings to all designated committee members. Prepare procurement documentation for review by the tender committee. Prepare and submit the monthly procurement and disposal report to the supervisor for review.
