TMHS Group Limited is currently seeking a skilled and driven individual to fill the role of Procurement Specialist – Medical Equipment & Supplies. The position is located at the organization’s headquarters in Masai, Dar es Salaam, within the Medical Supplies department.

About the Role
The Medical Supplies Officer must demonstrate enthusiasm, competence, and self-motivation while possessing exceptional liaison and advocacy abilities. The main responsibility of this position involves overseeing supply chain operations, negotiating and finalizing pivotal agreements, and cultivating robust professional relationships to reliably meet and surpass departmental objectives.
Duties and Responsibilities
Customer Care: Consistently provide outstanding customer service to clients and stakeholders, ensuring their needs are met with professionalism and care. Resolve customer complaints within 24 hours. When significant issues arise, ensure they are promptly escalated to the Head of Department for resolution.
Procurement and Liaison: Forge strategic relationships with essential stakeholders to successfully negotiate and secure medical supply contracts. Build and maintain strong vendor relationships. Provide support for procurement activities concerning medical supplies, pharmaceuticals, and healthcare consumables.
Market Research: Examine market trends and demands within the medical supplies industry to identify key opportunities and insights. Conduct comprehensive research to pinpoint leading medical brands, ensuring the product portfolio remains highly competitive. Deliver data-driven insights essential for strategic product planning and organizational expansion initiatives.
Tender Management: Responsibilities include managing the entire tendering process, from strategic sourcing through to final delivery. Proactively foster client retention by executing thorough tender follow-ups and ensuring high standards in service delivery. Ensure tender processes are conducted with professionalism and efficiency.
Business and NGO Development: Leverage existing and new professional relationships to acquire and deliver projects for non-governmental organizations. Develop and execute strategies to secure public initiatives and institutional contracts. Assist in advancing business development initiatives within the medical supplies division.
Regulatory Compliance: Oversee the registration of products with local regulatory bodies, such as the Tanzania Medicines and Medical Devices Authority (MDA), ensuring compliance with all applicable guidelines. Ensure strict adherence to all applicable legal and regulatory standards governing medical supplies and related products. Ensure strict adherence to compliance protocols during procurement, registration, and distribution phases.
Distribution and Networking: Facilitate the timely and efficient distribution of medical supplies to hospitals, private clinics, and based care networks. Cultivate and sustain strategic partnerships with healthcare organizations and service providers to enhance collaboration and service delivery. Facilitate the efficient distribution and punctual delivery of medical supplies to ensure operational effectiveness.
Reporting and Records: Maintain accurate records and departmental data. Prepare and deliver detailed progress reports to the Head of Department on a regular basis. Ensure all records are maintained in an up-to-date and readily accessible manner to meet operational requirements.
Ad-hoc Tasks: Execute other assigned responsibilities and tasks as directed by leadership. Provide assistance to departmental initiatives focused on expansion, operational optimization, and enhanced service delivery.
Education and Qualifications
Applicants must possess the following qualifications and competencies: Demonstrated practical expertise in managing medical supplies, pharmaceuticals, or healthcare consumables is required. A Bachelor’s degree or diploma in Procurement, Supply Chain Management, Pharmacy, Biomedical Engineering, or a comparable discipline is required.
