Medical Secretary / Front Desk Officer / Secrétaire Médicale

Serenity Medical Center is a patient-centered private clinic located opposite Maison Damas, Yaounde. We are hiring a professional, courteous, and detail-oriented Medical Secretary / Front Desk Officer to ensure excellent patient experience and smooth administrative operations.
Main Responsibilities:
· Patient reception & orientation: Warm welcome; direct patients to the right service; monitor waiting area and alert the nurse in emergencies; answer calls calmly and professionally.
· Confidentiality: Protect patient privacy at all times; do not share patient information outside the care team.
· Patient registration (electronic medical system): Register all new and returning patients; enter accurate demographics and reason for visit; confirm registration before vital signs.
· Appointments, reminders & follow-up: Schedule appointments, send reminders (call/WhatsApp); and follow up after care
· Billing, payments & daily cash handover: Prepare detailed invoices; confirm all services are billed; collect payments (cash/Mobile Money/Orange Money); issue receipts; record payments; hand over cash, supporting documents and the Daily Cash Report.
· External communication & clinic image: Respond to WhatsApp/social media messages politely; post daily promotional content on WhatsApp status with approval; support official social media content; draft client message for validation and broadcast; maintain a clean and professional appearance and tone.
· Insurance files: Submit completed insurance invoices/files; maintain a daily tracker of insured patients and status; flag missing documents and recurring insurer issues; respect internal deadlines.
· Professional conduct, ethics & integrity: Remain respectful and calm even with difficult clients; High level of integrity: e.g., zero tolerance for extra money or missing receipts; never falsify invoices or manipulate stock; report any billing/stock/theft or reputational risk immediately.
Expected Results:
· Professional, reassuring and confidential reception from patient entry.
· Waiting area remains calm, clean and safe; emergencies identified and escalated quickly.
· Accurate patient registration; well-organized appointments and timely patient follow-up.
· Correct and complete invoices; clean cash handling with Daily Cash Report.
· Complete and well-managed insurance files with required supporting documents.
Minimum Qualifications & Skills:
· Strong computer skills (typing, email, MS Office) and ability to learn an electronic medical system quickly.
· Health background and/or prior healthcare experience are strong assets.
· Excellent communication and customer-service skills; professional phone etiquette.
· High integrity, attention to detail, and ability to handle cash responsibly.
· Strong sense of confidentiality and medical ethics; teamwork and ability to work under pressure.
· Bilingual - French and English is a strong advantage.
