Responsabilités
This role, based in Fianarantsoa, Madagascar, serves as the Accounting, Administrative, and Procurement Coordinator, overseeing the satellite office’s financial, logistical, and operational functions. Reporting to general direction, the position ensures adherence to organizational policies while facilitating compliance with financial, procurement, inventory, and vehicle management protocols. The role demands strong multitasking abilities, strategic prioritization, and deadline-driven execution within a fast-paced environment. Duties include managing the organization’s vehicle fleet—overseeing usage, maintenance, safety compliance, and cost control—to guarantee reliable transportation for fieldwork and office operations. Key responsibilities encompass:
Accounting & Finance: Reviewing financial documentation (invoices, cash advances, expense reports) for compliance with internal policies; processing transactions in Business World; disbursing payments per approved procedures; and assisting with monthly/annual financial closures. The role involves validating reports, ensuring adherence to internal controls, and preparing submissions for the Senior Manager of Administrative and Finance, while supporting audits and reviews. Administrative & Logistical Support: Providing end-to-end administrative oversight for the office, including coordinating meetings, travel, and daily operations. Responsibilities include managing documentation, operating office equipment, maintaining procurement files, handling outgoing mail, and distributing materials. Additional tasks involve tracking office supply inventories and coordinating small repairs to sustain operational efficiency. Procurement & Inventory: Executing procurement activities in alignment with CI’s policies, updating fixed assets inventories, and ensuring optimal stock levels for office supplies and materials. The position collaborates with the Finance and Administrative Manager to identify cost-saving opportunities, negotiate vendor contracts, and finalize procurement requests accurately. Duties also include labeling new materials, conducting end-of-year inventories, and overseeing order reception, storage, and distribution. Fleet Management: Overseeing vehicle operations by scheduling usage, monitoring mileage, fuel consumption, and trip documentation.
