EMPLOYMENT OPPORTUNITIES The Zambia University-College of Technology (ZUT) is a Government owned higher learning institution established by Statutory Instrument No. 39 of 2022. The institution has continued to record growth in various areas of operation. The University-College is based in Ndola, and offers locally and internationally accredited professional and academic programmes, and a range of other products and services, such as skills training, consultancy and software development. In order to build on the current successes and achieve even greater heights, the University-College seeks to recruit dedicated and innovative professionals who are passionate about making a significant and positive contribution to the education sector in Zambia. HUMAN RESOURCE AND ADMINISTRATION OFFICER – Permanent Contract (1 Position) – Salary Scale ZUT 5. Job Purpose: To provide effective Human Resource and administrative support in the implementation of HR policies, employee services, staff records, recruitment, performance management, employee relations, facilities and general administrative functions, ensuring efficient service delivery and compliance with University College policies and applicable legislation. Minimum Qualifications Full Grade 12 School Certificate with at least five (5) Credits, including English Language and Mathematics. Bachelor’s Degree in Human Resource Management, Business Administration, Public Administration, Management or a related field (ZQF Level 7). Minimum of two (2) years’ relevant experience in Human Resource Management and/or Administration. Membership of the Zambia Institute of Human Resource Management (ZIHRM) or another relevant professional body will be an added advantage. Key Responsibilities for the position: Assist in implementing Human Resource policies, procedures, systems and programmes in accordance with institutional requirements and applicable labour legislation. Coordinate recruitment and selection activities, including preparation of vacancy advertisements, shortlisting, interviews, appointment documentation and onboarding of employees. Maintain accurate and up-to-date employee records, personnel files, HR registers and HR information systems, ensuring confidentiality and proper records management. Support the implementation of the Performance Management System, including performance contracting, appraisals, probation monitoring and preparation of performance reports. Assist in coordinating staff training and development programmes, including training needs identification, programme coordination and maintenance of training records. Provide administrative support in managing employee relations matters, including grievances, disciplinary cases, staff welfare and other employee concerns. Assist in the preparation of HR reports, statistics, workforce information, establishment reports and other management reports within prescribed timelines. Support the administration of leave, attendance, contracts, staff movements, confirmations, promotions, transfers, separations and other employee transactions. Assist in coordinating general administrative services, including meetings and other logistical requirements. Assist in coordinating administrative procurement and distribution of office supplies, equipment and other resources while ensuring proper accountability. Provide administrative support to committees, meetings and institutional activities, including preparation of documentation, minutes and follow-up of action points. Ensure compliance with University College policies, procedures, statutory requirements and professional standards in the execution of HR and administrative functions. Provide timely and professional HR and administrative support to staff, students and other stakeholders. Perform any other duties as may be assigned by the Deputy Registrar – Human Resource and Administration. Special aptitudes, disposition and personal qualities of ideal candidate for the position: HR operations, recruitment, records and performance management. Labour relations, legislation and policies. HRIS, data management and report writing. Effective communication, collaboration and customer service. Organisation, time management, sound judgement and decision-making. Confidentiality, accountability, accuracy and ethical conduct. Proactive, dependable, flexible and committed to continuous learning.
