Role Purpose The Property Manager oversees the professional management and performance of property assets within the Company’s investment portfolios on behalf of institutional clients. Positioned within the Investment Department, the role is dedicated solely to property assets included in the Company’s institutional client portfolios. The Property Manager’s responsibilities include ensuring properties are effectively managed, compliant with regulations, financially controlled, properly maintained, and aligned with the investment objectives and mandates of the relevant institutional clients. This position integrates property operations with asset-level financial management, tenant and stakeholder relations, risk mitigation, and investment analysis, placing paramount importance on safeguarding and augmenting the value and revenue-generating capabilities of the property portfolio. Key Responsibilities A. Property Portfolio Management Oversee the operational performance and administrative functions of properties within designated institutional investment portfolios on a daily basis. To uphold operational excellence, properties must be managed and maintained in adherence to established professional, legal, regulatory, and investment benchmarks. Track and analyze essential property performance metrics such as occupancy levels, rental income streams, lease compliance obligations, operational expenditures, outstanding arrears, maintenance needs, and other critical indicators to assess overall asset performance. Create property management plans that are in harmony with the investment strategy and objectives set for each client portfolio, and ensure their ongoing maintenance and alignment. Conduct a thorough analysis of operational factors to detect potential issues or opportunities that could impact property performance, revenue generation, or capital appreciation, and ensure such findings are communicated through the proper channels. Conduct property inspections and follow up to ensure all identified issues are resolved within the specified timeframes. Tenant and lease administration responsibilities encompass a range of critical tasks to ensure smooth property operations. This role involves overseeing lease agreements, coordinating with tenants to address maintenance requests and concerns, and ensuring compliance with lease terms and local regulations. Additionally, the position requires meticulous record-keeping of lease documents, tracking expiration dates, and facilitating renewal negotiations as needed. Strong communication skills and a proactive approach are essential to resolve tenant issues promptly and maintain positive landlord-tenant relationships. Foster and uphold professional connections with tenants as well as key stakeholders in the property management process. Monitor lease terms, track upcoming expirations, oversee renewal processes, conduct rent reviews, evaluate break clauses, and ensure compliance with all critical contractual obligations. Proactively manage lease administration, overseeing and executing key lease milestones as they arise to maintain compliance and operational efficiency. Track rental collections and overdue payments, collaborating with internal and external stakeholders to resolve outstanding balances promptly and efficiently. Facilitate tenant retention efforts, drive leasing strategies, and optimize occupancy levels as needed. Ensure that tenant-related issues are managed in strict adherence to the Company’s established policies and the specific investment mandate governing each portfolio. Financial Management and Reporting This role oversees financial planning, budgeting, and forecasting to ensure fiscal health and compliance with regulatory standards. Key responsibilities include preparing accurate financial statements, analyzing financial data, and providing strategic recommendations to enhance profitability and efficiency. The position requires proficiency in accounting software, strong analytical skills, and meticulous attention to detail. Additionally, it involves collaborating with cross-functional teams to align financial strategies with organizational goals and ensuring timely, transparent reporting to stakeholders. Develop, oversee, and maintain property-level budgets, financial forecasts, and operational expenditures to ensure fiscal efficiency and strategic alignment. Monitor and analyze actual property income and expenditures in comparison to approved budgets, identifying and investigating any significant deviations. Evaluate property-related invoices, expenditures, and service contracts to verify cost control measures and ensure optimal value for money. Track and oversee rental collections, outstanding balances, and other property-related revenue streams. Deliver precise and promptly prepared property-level financial data to the portfolio team and all associated portfolio management groups. Prepare institutional client reporting by delivering precise property performance data and insightful commentary. Uncover potential avenues to enhance net operating income and streamline operational processes. Professional Rewriting: Responsible for overseeing property maintenance and facilities management duties, ensuring buildings and infrastructure remain in optimal condition. Responsibilities include managing both scheduled and emergency maintenance initiatives for administered properties. Oversee and supervise external property managers, facilities managers, contractors, consultants, and service providers as needed. Responsibilities include overseeing the appropriate scoping, procurement, monitoring, and completion of maintenance and capital projects. Evaluate service contracts and assess contractor performance, subsequently proposing decisions on renewal, replacement, or renegotiation. Facilities must be managed and preserved in alignment with established investment strategies and mandated quality standards. Compliance, Risk, and Governance form the cornerstone of our operational framework, ensuring adherence to regulatory standards, mitigating potential threats, and upholding corporate integrity. This role demands a keen understanding of industry regulations, robust risk assessment capabilities, and the development of governance policies to safeguard organizational resilience. Responsibilities include monitoring compliance with legal and ethical guidelines, identifying and evaluating risks, and implementing strategic governance measures to align with organizational objectives. Ensure properties are administered in full compliance with all relevant legislation, regulations, contractual obligations, leases, and internal policies. Assess and mitigate a range of property-related risks encompassing health and safety, insurance coverage, security protocols, environmental impacts, operational efficiency, and regulatory compliance. Maintain accurate and up-to-date property records, ensuring all documentation and statutory certificates are properly filed and compliant with relevant regulations. Identify and escalate incidents, material risks, and potential liabilities without delay to mitigate adverse impacts. Provide assistance to the Investment Department in ensuring robust governance and control measures over property assets. Provide support in conducting due diligence, performing audits, carrying out valuations, managing insurance matters, overseeing inspections, and facilitating other asset-related evaluations. F. Provision of Investment and Asset Management Support This role involves delivering comprehensive support to investment and asset management functions, ensuring seamless operations and adherence to established protocols. Responsibilities include conducting market research, analyzing asset performance, and assisting in portfolio management activities. The position requires proficiency in financial analysis, strong attention to detail, and the ability to work under tight deadlines. Additionally, the individual will collaborate with cross-functional teams to gather and disseminate key insights, contributing to informed decision-making processes. Collaborate actively with portfolio management and growth asset teams to ensure property-level operations align with and support the overarching investment strategy. Deliver comprehensive property-level analyses to inform investment choices, conduct portfolio evaluations, determine asset valuations, and develop strategic business plans. Explore and pursue avenues for generating value, such as leasing strategies, refurbishment projects, redevelopment plans, cost-saving measures, and other initiatives aimed at enhancing asset performance. Assist in the development and execution of strategic property business plans. Offer strategic operational insights and guidance on acquisitions, disposals, and other investment-related property transactions. You will assist external valuers and other advisors by supplying precise property details and coordinating site visits as needed. G. Institutional Client Service Grasp the unique investment objectives, mandates, and reporting obligations specific to each institutional client portfolio. Verify that property management operations align with established investment strategies and fulfill client specifications. Deliver precise and up-to-date information promptly to administrators, portfolio teams, and growth assets divisions for institutional client reporting purposes. This role involves monitoring payment schedules, communicating with tenants regarding overdue balances, and implementing strategies to recover delinquent accounts while maintaining positive tenant relationships. Additionally, the position requires maintaining accurate records of all transactions, generating reports on payment statuses, and collaborating with legal teams when necessary to address persistent non-payment issues. Qualifications and Experience Qualifications A minimum of a bachelor’s degree, or an equivalent qualification, in Property Studies, Real Estate, Land Economy, or a closely related field is required. ZAQA Qualified Certificates Full Grade 12 Certificate A postgraduate qualification in a relevant field, such as an M.Sc. in Real Estate or an MBA with a Finance focus, along with Registered Valuation Surveyor status, would be advantageous. Experience A minimum of five to eight years of hands-on experience in property management is required. Demonstrated experience in property management, with a minimum of 2–3 years in a supervisory or managerial role, preferably within institutional or investment properties, is required. Professional Rewriting: Membership in either the Zambia Institute of Valuation Surveyors (IVs) or the Zambia Institute of Estate Agents (IEA) is required. A comprehensive understanding of Zambian property law, tenancy regulations, valuation principles, estate agency practices, and applicable legislation is essential.
