Organizational Context and Scope

Under the overall supervision of the Chief of Mission and the direct supervision of the Programme Officer (Migration and Climate Change) or designated Programme Manager, the Project Assistant (Climate Mobility Communications) will provide clerical and administrative support for communications, media, visibility and outreach activities under the Programme. The incumbent will also assist in the preparation of communication products, digital content, event visibility materials, communication materials, and outreach activities that promote awareness of climate mobility priorities and programme achievements across the Pacific region.

The position will be based in Suva, Fiji, within the IOM Coordination Office for the South Pacific and will support the implementation of the Pacific Climate Mobility Partnerships Programme (PCMP), a regional programme led by IOM and delivered in partnership with regional organizations, governments, civil society, and technical agencies to advance rights-based, people-centred climate mobility action across the Pacific, as well as other climate mobility-related programmes.

Education / Diplomas

The position will work closely with the IOM Coordination Office for the South Pacific Programme Support Unit, and the Media and Communications team. It will also work closely with implementing partners, government counterparts, regional organizations, and other stakeholders to support the dissemination of approved programme information and communication materials.

Responsibilities

Provide clerical assistance in the implementation of the Pacific Climate Mobility Partnerships Programme and other related Climate Mobility programme activities.

Retrieve, compile, summarize, and present information/data related to media, communications and visibility activities.

Assist in monitoring and updating media, communications and visibility materials under the Climate Mobility Unit.

Support administrative coordination for project implementation, including processing routine administrative requests, maintaining records, and following up on administrative actions related to media and communications activities.

Job Presentation

Draft routine status reports, correspondence, briefing notes, graphics, statistical tables, presentations, and other forms of documentation using established templates and guidance.

Support the organization of media and communications coverage for meetings, workshops and training sessions.

Respond to general information requests and inquiries; set up and maintain SharePoint folders, filing systems, media tracking records and communications materials (pictures, videos etc).

Perform other related duties as assigned.

Required Qualifications and Experience

Education

High school diploma with three years of relevant experience; or,

Bachelor’s degree in Political or Social Sciences, Media and Communications, International Relations, Development Studies, Migration Studies, Human Rights, Law, Journalism or related fields from an accredited academic institution with one year of relevant professional experience.

Accredited Universities are those listed in the UNESCO World Higher Education Database.

Experience

Experience providing administrative or clerical support is an advantage.

Experience supporting communications, media, events or outreach activities is desirable.

Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.

Required Skills

Good knowledge of Microsoft Office applications (Word, Excel, PowerPoint and Outlook).

Basic knowledge of graphic design, photography and video editing software such as Adobe Creative Suite, InDesign, Canva or similar applications is desirable.

Good organizational skills and attention to detail.

Ability to organize and maintain electronic and paper filing systems.

Good interpersonal skills, able to interact and communicate well with others, including from diverse backgrounds.

Languages

All IOM staff members in all categories are required to be fluent in one of the IOM's official languages (English, French, Spanish).

For this position, fluency in English is required (oral and written). Working knowledge of one Pacific language is desirable.

Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
