Main Purpose The Finance Manager serves as the senior financial executive at Impala Terminals Zambia Ltd, overseeing a comprehensive range of financial duties. These include financial reporting, maintaining balance sheet integrity, ensuring statutory and tax compliance, strengthening internal controls, managing treasury operations, and collaborating closely with operational teams. By delivering precise, prompt, and strategic financial insights, the role empowers the Country Manager in making informed strategic and operational decisions. As the primary financial representative for the company, the Finance Manager holds ultimate responsibility for safeguarding the financial well-being and regulatory adherence of the business. Key Responsibilities: Responsibilities may encompass, but are not restricted to: Activity Accountable for overseeing balance sheet ownership and managing all accounting activities related to it. Each month, you will assume ownership of the full balance sheet review and reporting process, ensuring all balance sheet accounts—such as accruals, provisions, prepayments, tax accounts, intercompany balances, fixed assets, and suspense accounts—are thoroughly reconciled, properly documented, and resolved within the established deadlines. Oversee routine accounting operations by validating invoices, processing journal entries, and calculating tax obligations, among other supervisory duties. Provide direct line management to the Procurement Officer while ensuring procurement processes comply with the Group’s procurement policy, delegation of authority framework, and cost control goals. Oversee the review and approval of purchase orders and vendor contracts within established authority limits, guaranteeing that procurement activities remain aligned with budgetary constraints and operational justifications. Oversee the petty cash fund to ensure adherence to approved float limits, supported by valid receipts and vouchers, with weekly reconciliation and replenishment through a properly authorized process. Verify that petty cash expenditures are accurately coded to the appropriate cost centers and subject to review for business justification prior to reimbursement. Perform unannounced audits of petty cash funds at regular intervals to verify accuracy and mitigate the risk of misappropriation. Management Reporting and Financial Analysis We are seeking an experienced professional to deliver accurate and insightful financial data, ensuring alignment with organizational objectives. The ideal candidate will possess strong analytical skills, proficiency in financial modeling, and the ability to translate complex data into clear, actionable insights. Responsibilities include preparing monthly, quarterly, and annual financial reports, conducting variance analyses, and providing strategic recommendations to senior leadership. Proficiency in advanced Excel, ERP systems, and BI tools is required, along with a degree in Finance, Accounting, or a related field. Exceptional communication skills and attention to detail are essential for success in this role. Oversee the month-end closing process in accordance with Group-established deadlines. Compose and deliver monthly financial performance reports for local, regional and global management, emphasizing critical financial trends and potential risks. Develop and sustain operational KPI-to-financial performance bridges to facilitate accurate financial analysis. Monthly, reconcile warehouse throughput volumes, logistics movements, trucking activity, and other operational metrics with corresponding revenue and cost lines to ensure alignment and integrity of financial reporting. Develop and submit annual budgets alongside quarterly forecasts in alignment with Group-established timelines; subsequently, track financial performance relative to budgetary targets and deliver insightful variance analysis to stakeholders. Tax Compliance and Statutory Reporting Ensuring adherence to tax regulations and fulfilling statutory reporting obligations are critical functions within this role. The position demands meticulous attention to detail, a comprehensive understanding of tax laws, and the ability to prepare and submit accurate financial reports in compliance with statutory requirements. Responsibilities include managing tax filings, conducting compliance reviews, and ensuring timely submissions to relevant authorities. Strong analytical skills, proficiency in tax software, and a commitment to maintaining up-to-date knowledge of regulatory changes are essential for success in this position. Ensure full compliance with all statutory tax obligations, such as VAT, Withholding Tax (WHT), Corporate Income Tax (CIT), PAYE, and other relevant levies by filing, paying, and reconciling all tax accounts with the general ledger in a timely manner. Maintain a tax compliance calendar to guarantee timely filing, accurate payments, and fully reconciled tax control accounts—ensuring zero instances of delay, underpayment, or discrepancies. Engage with external tax advisors and the Zambia Revenue Authority (ERA) as needed, handling tax audits and inquiries in a professional and proactive manner. Stay informed about updates to Zambian tax laws and evaluate their implications for financial and operational aspects of the business; promptly relay relevant changes to appropriate teams. Compile and file all mandatory financial statements in adherence to International Financial Reporting Standards (IFRS) as well as applicable local regulatory mandates. Internal Controls, Audit Preparation, and Regulatory Compliance oversight are integral to this role, ensuring adherence to established policies, procedures, and legal standards across all organizational operations. The position demands a thorough understanding of internal auditing principles, risk management frameworks, and compliance regulations to identify, assess, and mitigate potential vulnerabilities and non-conformities proactively. Responsibilities include designing, implementing, and maintaining robust internal control systems, conducting periodic audits, and verifying compliance with internal policies and external mandates. Additionally, the role requires collaboration with cross-functional teams to foster a culture of accountability, transparency, and continuous improvement while providing actionable insights and recommendations to senior management to strengthen governance and operational efficiency. Ensure that every journal entry is thoroughly supported, meticulously reviewed, and properly approved in accordance with the Group’s delegation of authority (DOA) matrix; maintain a comprehensive and fully auditable journal entry log. Perform regular self-evaluations of controls and promptly rectify any deficiencies prior to internal or external audit proceedings; develop and monitor action plans to address any control deficiencies that are identified. To maintain continuous compliance with audit standards, oversee and administer external and internal audit procedures, ensuring prompt and precise responses to all audit inquiries. Ensure adherence to all financial policies, procedures, and reporting standards established by the Group. Cash Flow and Treasury Management play critical roles in maintaining financial stability and optimizing liquidity within an organization. This function involves overseeing cash flow projections, managing liquidity risk, and ensuring sufficient funds are available to meet operational and strategic obligations. Professionals in this domain are responsible for optimizing working capital, mitigating financial risks, and executing efficient cash positioning strategies to support business continuity. Strong analytical skills, proficiency in financial modeling, and a deep understanding of banking relationships and investment options are essential for success in this field. Additionally, candidates must demonstrate expertise in cash flow forecasting, debt and investment management, and compliance with regulatory requirements to safeguard organizational assets. Forecast and communicate funding requirements to management promptly and in a structured format. Monitor foreign exchange exposure and identify material FX risks for escalation. Confirm that all intercompany transactions and balances are reconciled on a monthly basis and validated with counterpart entities. Skilled in guiding and nurturing the growth of finance teams, this role focuses on strategic leadership and talent development to enhance departmental performance and drive financial excellence. Direct oversight of the Finance team’s operations, strategic direction, and talent development is required, along with the establishment of measurable performance benchmarks and the consistent execution of formal performance appraisals. Conduct comprehensive training sessions for the team on accounting principles, financial management strategies, internal control frameworks, compliance regulations, and other relevant topics to enhance their professional competencies and ensure organizational adherence to established standards. Foster a culture characterized by precision, responsibility, and ongoing enhancement within the Finance department. CHESS Leadership and Accountability To champion and uphold the Terminal’s safety culture, providing leadership to all employees in its ongoing improvement. Our role involves overseeing investigations, initiating corrective measures, and regularly evaluating CHESS performance to ensure adherence to standards. Ensure strict adherence to all CHESS policies, procedures, and regulatory mandates throughout Terminal operations. Resource Distribution & Strategic Planning Oversee the allocation of organizational assets—including human, financial, and technological resources—to ensure alignment with overarching business objectives. Develop, refine, and execute long-range strategic plans that forecast future resource needs, identify potential bottlenecks, and propose data-driven solutions to optimize workforce productivity, budget utilization, and operational efficiency. Collaborate with department heads and senior leadership to secure buy-in for proposed initiatives, ensuring seamless integration with existing workflows and corporate priorities. Monitor key performance indicators (KPIs) regularly to assess the effectiveness of resource strategies, recommend corrective actions as needed, and present findings to stakeholders in clear, actionable reports. Provide sufficient resources, including personnel, equipment, and budget, to support CHESS programs and initiatives. Establish and authorize the Terminal’s yearly CHESS objectives, targets, and enhancement initiatives. Enhancing Stakeholder Relations & Community Collaboration This role focuses on fostering strong connections with stakeholders and actively engaging with local communities to build trust, ensure transparency, and align organizational goals with community needs. Responsibilities include developing and maintaining relationships with key stakeholders, addressing their concerns, and facilitating meaningful dialogue to support mutual objectives. The position requires strong interpersonal skills, the ability to manage diverse perspectives, and a commitment to inclusive communication. Additionally, the role involves coordinating community outreach initiatives, gathering feedback, and implementing strategies to enhance public perception and collaboration. Foster strong, collaborative partnerships with local communities, regulatory agencies, and emergency response teams. Minimum Qualifications & Experience Education – Must hold a full professional accountancy qualification such as ARCA, CA Zambia, or an equivalent certification recognized internationally. With a minimum of seven years of progressive finance experience, including at least three years in a Finance Manager position or a comparable senior finance role, you will bring a strong foundation in financial management. While prior experience in logistics, warehousing, terminals, commodities trading, or a related operational field is not mandatory, candidates with such backgrounds are strongly encouraged to apply. Preferred candidates will possess prior experience in multinational or Group reporting environments. Proficient in ERP systems, including SAP, Oracle, Na vision, or comparable platforms. Demonstrated capability to provide constructive feedback to operational teams while effectively converting business initiatives into measurable financial results. Accomplished leadership and talent cultivation skills are essential. Key Relationships: Internal: Senior Leadership Financial Controller As the primary point of accountability, this role will deliver comprehensive financial performance analysis, robust risk management oversight, and strategic advisory support to senior leadership. Regional Financial Controller Group reporting, financial planning, and performance evaluations are integral components of this role, requiring meticulous attention to detail and strategic analytical skills. Additionally, the position involves responsibility for overseeing financial forecasts, conducting in-depth performance assessments, and preparing comprehensive reports to support executive decision-making processes. Proficiency in financial modeling, data analysis, and reporting tools is essential, along with a strong aptitude for interpreting complex financial data and communicating insights effectively to stakeholders. Country Manager – Reports collaboratively to the primary manager while providing ongoing finance and accounting support. Asset Director and Regional Manager The Asset Director and Regional Manager will oversee a diverse portfolio of assets, ensuring optimal performance, financial growth, and strategic alignment with organizational goals. This role involves collaborating with cross-functional teams to implement efficient asset management practices, mitigate risks, and drive cost-effective solutions. Additionally, the position requires strong leadership to mentor teams, foster innovation, and uphold compliance with industry regulations. A proven track record in asset management, financial acumen, and exceptional interpersonal skills are essential for success in this dynamic position. – Reporting Operational Teams Warehouse Manager We are responsible for monitoring expenses, overseeing budget allocations, and tracking operational performance metrics to ensure financial accountability and efficiency. Logistics/Transport Managers Conducting comprehensive freight cost analysis, optimizing transportation routes, and managing fleet-related expenditures are key responsibilities within this role. Procurement Team – Management of vendor payment terms, purchase order administration, and cost control Inventory/Stock Control – Conducting inventory valuation, performing stock reconciliation, and analyzing shrinkage to ensure accurate financial reporting and inventory management. Customer Service Handle customer billing inquiries, oversee account management tasks, and conduct credit control activities. Support Functions Tax, Legal, Compliance, and Corporate Secretarial functions encompass a broad spectrum of responsibilities vital to organizational integrity and regulatory adherence. These roles are tasked with ensuring adherence to tax laws, managing corporate governance frameworks, maintaining compliance with statutory and regulatory obligations, and overseeing secretarial duties such as maintaining statutory registers and facilitating board and shareholder meetings. IT Department Finance Team Local Accounting Team The Shared Services team within the Group provides dedicated support for Accounts Receivable (AR), Accounts Payable (AP), and Treasury functions.
