Job Description

Hollard Insurance is looking for General Services Officer

Reports To: General Manager, Finance & Accounts

Location: Head Office, Accra   

Job Purpose

To lead the efficient management of Hollard Ghana’s physical assets, facilities, and general administrative services by ensuring optimal resource utilization, compliance with procurement and safety standards, and delivery of seamless operational support across all business units.

 

Key Duties & Responsibilities

Ensure all company facilities provide a safe, secure, and conducive working environment for staff and customers.

Oversee maintenance of office infrastructure including and other amenities in line with SLAs.

Maintain an up-to-date asset register, ensuring proper tagging, tracking, and lifecycle management (acquisition, maintenance, disposal).

Act as custodian of all company physical assets, recommending replacements and disposals where necessary.

Manage and allocate pool vehicles efficiently to support business operations.

Arrange alternative transport solutions (e.g., ride-hailing services) where required.

Maintain accurate and up-to-date vehicle documentation and service records.

Ensure compliance with company vehicle policies and regulatory requirements.

Source, evaluate, and recommend suppliers based on value for money and service quality.

Maintain a reliable database of approved vendors including hotels, travel partners, and service providers.

Build and manage strong vendor relationships to ensure consistent service delivery.

Coordinate local and international travel arrangements including flights, accommodation, and transport, travel documentation and related logistics

Supervise service staff including drivers, dispatch riders, security personnel, and janitorial teams to ensure high performance and accountability.

Oversee courier services and corporate correspondence distribution.

Maintain accurate records of company correspondents and official documentation.

Manage tenancy agreements and related invoices for office spaces and sub-tenants.

Ensure strict adherence to workplace health and safety standards, including fire safety protocols.

Conduct periodic checks to ensure compliance with safety regulations and company policies.

Required Skills or Experience

Qualifications, Experience & Competencies

Bachelor’s Degree or HND in Purchasing & Supply, Logistics, Business Administration, or related field.

Relevant professional certification (e.g., CIPS) is an added advantage.

Minimum of 3–5 years’ experience in facilities management, procurement, or general services role.

Strong planning, coordination, and organizational skills

Proven procurement and vendor management capability

Good knowledge of fleet and facilities management practices

Excellent negotiation and cost management skills

Strong record-keeping and documentation discipline

Ability to manage multiple service providers effectively

Strong interpersonal and stakeholder management skills

High level of integrity and attention to detail
