Process and remit payments to suppliers, staff, and partners in strict adherence to established policy guidelines and scheduled timelines. Ensure that all payment-related documentation is fully complete and accurate before processing any transactions. Prepare and submit monthly funding requisitions for the office promptly, ensuring they are approved by both the Finance Director and the Regional Office. The monthly cashflow forecast for West Virginia must be updated and submitted to the Finance Director for approval.
Verify that monthly cash requests remain consistent with the forecast and the GT hedged amount,
Maintain prompt replenishment and thorough reviews of petty cash funds. Conduct surprise audits of petty cash funds, ensuring accurate preparation, thorough review, and proper approval of petty cash count certificates by authorized personnel. We are responsible for ensuring that all cash and funds are accurately receipted and promptly deposited into the bank, with corresponding Deposit Vouchers generated for approval and filing. Additionally, we must record bank charges appropriately in the financial records. Oversee all cash and bank payments to vendors, as well as staff advances, ensuring full alignment with established internal control systems and predefined finance protocol benchmarks. Guarantee sufficient cash reserves are maintained to meet the NO target low benchmark.
Ensure cash balances remain within Target Low parameters while effectively managing liquidity benchmarks. All banking operations are managed with precision and efficiency, ensuring seamless handling of all financial matters.
Timely payment to our suppliers/vendors Mobile Money Disbursement Management: 15%
Verify that all supporting documentation transmitted from the field is complete and fully supports each Mobile Money payment. Ensure all invoices generated internally are dispatched to the Shared Services Centre prior to payment processing. Ensure all payments receive approval from authorized officers and are processed within the three-day policy window, encompassing both integrations and correct allocation. Conduct a monthly examination of the National Office Mobile Money reconciliation account to verify that the float accurately represents the balance available as of the balance sheet date. Ensure prompt disbursement of funds to beneficiaries and maintain accurate reconciliation records. The timeliness and quality of Overall Financial Reports consistently align with the minimum requirements set for partnership reporting standards, achieving a rating of 25%.
Collaborate with field finance personnel to ensure accurate and prompt monthly financial reporting. Responsible for organizing the compilation of annual statutory financial statements in compliance with IPSA, IFRS (as applicable), NGO regulations, and World Vision partnership mandates. Provide support during external audits and ensure the prompt release of audited financial statements. Ensure Field Financial Reports are generated, reviewed, approved, and filed by the 15th day of the subsequent month. Review all WVT bank accounts’ reconciliations to confirm they are completed promptly each month, ensuring no outstanding checks or deposits in transit remain unresolved. Monthly, conduct a thorough reconciliation of project budgets against actual expenditures across all funding sources, ensuring accurate financial alignment and reporting. Ensure that monthly reconciliations of direct funding from donors and support offices are completed promptly and accurately. Ensure that budget joint ventures are recorded in a timely fashion and that all supplementary revenue commitments are promptly reflected in Sun Systems records. Review the monthly general ledger funding reconciliation in collaboration with the Global Center, verifying that no items remain outstanding for more than 60 days. Provide technical assistance to the finance team while maintaining the security and integrity of the WVT Subsystem database. Facilitate the provision of access to R2R and P2P systems for finance personnel as needed. Collaborate with the Financial Reporting Services Centre to establish account codes and configure their combinations.

Conduct aging analysis on balance sheet items and communicate findings to appropriate team members to facilitate corrective action. The current balance sheet account accurately reflects the office’s financial position. Demonstrate leadership to the Accounts team while fostering professional growth and enhancing team capabilities, accounting for approximately 10% of overall responsibilities. In collaboration with the Finance Director, develop a comprehensive capacity-building plan tailored to the needs of the finance team. The role involves collaborating closely with the Finance Director to enhance the financial literacy of non-finance staff, equipping them with the skills to comprehend and interpret financial statements, partnership policies, and procedural frameworks effectively. Assist the Finance Director with the implementation of global and local finance-related initiatives. Oversee the performance of team members reporting to this position. The incumbent will develop performance benchmarks for accounts staff and perform semi-annual and annual evaluations for direct reports to assess their contributions and professional growth. Draft and finalize a comprehensive succession plan for the department, ensuring alignment with strategic objectives, and submit it to the Finance Director for review and approval. Oversee leave management for all staff members within their team. Attend daily devotional gatherings to foster spiritual growth and development. Cultivate and sustain strong, collaborative relationships with Support Offices, donors, and other critical stakeholders to ensure alignment and mutual success. Carry out any additional tasks or responsibilities as instructed or delegated by the Finance and Support Services Director. A robust staffing capacity framework is established, complemented by a comprehensive succession planning strategy to ensure sustained organizational readiness and leadership continuity.
