Job Description
MSI Ghana invites applications from qualified, experienced, and values-driven professionals for the position of
Office & Fleet Manager .
Location: Accra, Ghana
Employment Type: Full-time
Reporting Line: Director of HR & Administration
Probation: 3 months
Role Purpose
The Office & Fleet Manager is responsible for overseeing MSIG’s administrative operations and fleet management to ensure smooth, safe, and efficient organizational operations. The role provides strategic oversight of office facilities, logistics, vehicles, and general administration while ensuring compliance with organizational policies, donor regulations, and Ghanaian law
Key Responsibilities
Office Management
Oversee day-to-day office operations, including facility maintenance, security, office equipment, and supplies.
Ensure a safe, secure, and well-organized work environment for staff and visitors.
Manage vendor relationships for office services including cleaning, utilities, and office supplies.
Develop and maintain office administrative procedures and guidelines.
Coordinate office setup for new sites or satellite offices as required.
Fleet Management
Oversee the management of the MSIG vehicle fleet, ensuring vehicle safety, maintenance, and compliance with relevant laws and regulations.
Plan and coordinate vehicle usage, ensuring efficiency and availability for operations, field teams, and senior management.
Monitor fuel consumption, vehicle logs, and associated budgets.
Ensure proper documentation, insurance, registration, and servicing schedules are maintained for all vehicles.
Lead the procurement of new vehicles and disposal of old vehicles following organizational procedures.
Health, Safety & Compliance
Ensure compliance with occupational health and safety standards in all MSIG offices and facilities.
Conduct regular safety audits and risk assessments for office and fleet operations.
Promote a culture of safety awareness, including emergency preparedness and incident reporting.
Stakeholder Engagement
Liaise with landlords, service providers, vehicle leasing companies, insurance providers, and relevant government agencies.
Coordinate with regional offices and field teams to ensure administrative and fleet support for operational activities.
Maintain strong working relationships with vendors, contractors, and partners to ensure service quality and compliance.
Procurement & Inventory Support
Support the procurement of office and fleet-related items in compliance with MSI procurement policies.
Maintain accurate inventory of office supplies, equipment, and fleet assets.
Coordinate with Finance and Supply teams to track expenditures and budgets.
Team Leadership & Capacity Building
Supervise and mentor administrative and fleet staff, setting clear performance expectations.
Conduct performance appraisals, identify training needs, and develop staff capacity in administrative and fleet management functions.
Promote a culture of accountability, integrity, and compliance across the administrative and fleet team.
Reporting & Management Information
Produce regular reports on office operations, fleet performance, and administrative KPIs for senior management.
Ensure all office and fleet operations comply with internal policies, donor requirements, and national regulations.
Assist with audits and reviews related to administrative and fleet functions.
Required Skills or Experience
Qualifications
Bachelor’s degree in business administration, Logistics, Operations Management, or related field. A Master’s degree is an advantage.
Professional training or certification in fleet management, logistics, or office management is desirable.
Experience
Minimum 7 years of experience in administrative management, office operations, or fleet management.
At least 3 years in a supervisory or managerial role.
Experience in healthcare or NGO settings is an advantage.
Competency
Strong organizational, planning, and problem-solving skills.
Knowledge of fleet management, logistics, and office operations.
High attention to detail and compliance orientation.
Strong leadership, communication, and stakeholder engagement abilities.
Ability to manage multiple priorities and work in a fast-paced environment.
Analytical skills for tracking budgets, vehicle utilization, and office performance.
