The Administrative and Procurement Assistant will deliver essential administrative, logistical, and procurement support to IATA’s projects in Madagascar, ensuring precise tracking of purchase orders and procurement records, seamless coordination of meetings and events, and effective communication between technical teams, suppliers, and the finance office—all in alignment with IATA’s strategic goals. Key responsibilities include greeting visitors and directing them to appropriate services, managing and updating purchase orders, maintaining meticulous records of procurement activities in both digital and physical formats, and following up on deliveries to ensure timely receipt of goods and services. Additionally, the role involves assisting in the planning and execution of conferences, workshops, and training sessions, supporting supply chain operations, and arranging logistics for meetings, official travel, and accommodations—including flight and hotel bookings, travel authorization requests, expense settlements, and immigration procedures for international staff and guests. The position also requires redirecting internal purchase requests, coordinating invoice and payment processing with the finance office, documenting meeting minutes, preparing monthly reports, and supporting export and import procedures. Any other tasks deemed necessary by the supervisor may also be assigned.
Expérience
Applicants must hold a Bachelor’s degree in Business Administration, Management, or a related discipline and possess a minimum of two years of relevant professional experience, preferably within a structured organizational setting.
