About the Organization
SYCAC is a non-governmental, non-profit civil society organization established in Türkiye in 2012, with its headquarters in Gaziantep. The organization works to empower conflict-affected and displaced communities and supports the refugee response through peacebuilding, early recovery, and community capacity-building, and is officially registered in Türkiye.
Job Purpose
SYCAC is seeking an Admin Assistant to provide reliable day-to-day office administration and routine HR administrative support for the Gaziantep office, ensuring that records, correspondence, official registrations, staff documentation, meetings, and office arrangements are organized, confidential, and easy to retrieve, under the direct supervision of the Operations Manager. The role also provides administrative support to the Executive Director and senior management.
Key Responsibilities
Organize and maintain administrative files, correspondence, and official documents (digital and physical), and process and route incoming and outgoing correspondence. Track organizational licences, registrations, and permits and their renewal dates, providing timely reminders to the Operations Manager. Support recruitment administration: publish approved job announcements, log and organize applications, and coordinate interview schedules. Maintain personnel files, attendance and leave records, and track contract-expiry dates; support onboarding administration for new staff. Provide administrative support to the Executive Director, including calendar coordination, meeting materials and minutes, and travel logistics coordination. Handle confidential HR and organizational information in line with SYCAC's data protection standards, Code of Conduct, and safeguarding policies.
Profile
Education: Bachelor's degree in Business Administration, Management, Human Resources, Public Administration, or a related field. Experience: Minimum 1 year of relevant experience in administration, office support, HR administration, or a similar assistant-level role; 1–2 years preferred; previous experience with an NGO or civil society organization is an advantage. Technical Skills: Good proficiency in MS Office (Word, Excel, PowerPoint, Outlook); familiarity with Google Workspace is an advantage; ability to prepare correspondence and meeting minutes in both Arabic and English; fast and accurate typing and data-entry skills. Languages: Arabic (native or full professional proficiency) — required; English (good working proficiency, B1+/B2) — required; Turkish (working knowledge) — a strong advantage.
