Looking for meaningful work where no two weeks are the same? We're looking for a Grants & Compliance Manager to help lead the donor side of our humanitarian healthcare projects in Ukraine. This is not a typical office job, though plenty of office work comes with it. Some days you'll be reviewing an agreement, writing a donor report, or coordinating with colleagues across departments. Other days you'll be visiting field teams, meeting partners, and staying close to how activities are really going.

As Grants & Compliance Manager, you are the focal point for our donors and consortium partners and the person who keeps each project accountable and audit-ready. You make sure we meet every donor requirement and deadline, you lead our reporting, and you keep the whole project team moving together — while the field teams lead delivery on the ground.

We're a relatively small organisation, which means people don't hide behind job descriptions. Everyone helps where needed. Sometimes you'll focus on compliance and reporting; sometimes you'll find yourself helping solve a staffing issue, supporting procurement, or filling a temporary gap. Flexibility and a hands-on attitude matter just as much as planning and coordination.

What you'll be doing

Acting as the focal point for the donor and, on consortium projects, for the lead / partner organisation and partners — attending their meetings and briefing STEP IN and partners both ways.

Reviewing MoUs and contracts and making sure STEP IN stays compliant with all donor requirements and deadlines.

Leading donor reporting (interim, final, and ad-hoc) — writing the reports with inputs from MEAL, Field Coordinators, the Medical Advisor, HR, and Finance.

Preparing and running the project kick-off, and leading the weekly internal project meeting on consortium projects.

Tracking progress, indicators, budgets, and timelines, and following up with Finance to keep everything on time.

Working closely with the Field Coordinators (who lead day-to-day delivery) and the assigned senior-management supervisor, who gives the final check before submissions.

Keeping each project ready to answer to the donor at any time — on paperwork and on implementation.

Covering gaps and stepping in wherever support is needed — because in a small NGO, everyone occasionally wears multiple hats.

Visiting project locations regularly and staying close to the realities of field implementation.

Helping improve systems, processes, and ways of working across the organisation.

What we're looking for

Experience with donor-funded projects and familiarity with donor requirements, compliance, and reporting (experience with consortium projects or institutional donors is a strong advantage).

Fluent English; Ukrainian or another Slavic language is a strong advantage.

Highly organised, able to keep track of multiple moving parts and deadlines at once.

Strong communication skills across very different people — from field staff and doctors to donors and partners.

A problem-solver who takes ownership rather than waiting for someone else to.

Comfortable taking responsibility and coordinating people you don't line-manage.

An understanding that humanitarian work requires flexibility and that priorities can change quickly.

Confident with Excel, Word, and project/reporting tools.

Willing to travel regularly and spend time in the field.

A valid driver's licence, and willing and able to drive regularly as part of the work.

Contract start date and duration

Start date: as soon as possible. Duration: 6 months.
