The position AKF is hiring a Procurement Assistant To support the execution of the Climate Resilience Project, with a particular emphasis on the Mandela Regenerative Farming initiative at the Aga Khan University (AKU)-Arusha Climate Environment Research (ACER). Roles and Responsibilities

Collaborate with project and finance teams to ensure the successful execution and oversight of annual procurement plans. Ensure that all procurement activities adhere to the organization’s established procurement policies and procedures, as well as donor requirements and value-for-money principles.

  • Collaborate with teams to identify, evaluate, and qualify capable suppliers, contractors, and service providers. The role involves managing the procurement of supplier quotes, compiling comprehensive bid analyses, and overseeing the evaluation of supplier performance to ensure optimal sourcing decisions.

Formation / Diplômes

  • Partner with suppliers and vendors to negotiate favorable terms, ensuring cost efficiency, premium quality, and punctual delivery of goods and services. Prepare procurement documentation by compiling, processing, and organizing materials such as purchase requisitions, bidding documents, Local Purchase Orders (Los), contracts, and procurement files to ensure accuracy and compliance with established procedures. Maintain and periodically refresh the database containing records of prequalified suppliers and vendor information. Ensure suppliers and service providers adhere to agreed contracts and purchase orders by actively following up to confirm timely delivery of goods and services. Collaborate with the Finance Department to ensure suppliers’ invoices are processed and settled in a timely manner. Maintain meticulously organized and current procurement records and filing systems, ensuring accuracy across both electronic and physical formats. Responsibilities include maintaining and updating procurement tracking systems, as well as assisting in the compilation of routine procurement reports—such as monthly and quarterly summaries—to ensure accurate and timely documentation.

  • Facilitate inventory management operations to maintain precise tracking and accountability of organizational assets and supplies. Maintain procurement records that are thorough, precise, and easily retrievable to support audit processes and compliance assessments. Advocate for procurement processes that prioritize environmental sustainability and responsiveness to climate considerations wherever feasible. Promote inclusive and gender-responsive procurement strategies by actively engaging with businesses led by women and local suppliers, whenever practical. Collaborate effectively with both internal teams and external partners to maintain seamless and optimized procurement processes. Perform additional duties and responsibilities as assigned by the line manager, ensuring alignment with organizational objectives and operational needs. The requirements A recognized institution must award a Diploma or Advanced Diploma in Procurement and Supply Chain Management, Procurement and Logistics Management, or a closely related discipline. With a minimum of two years of practical experience in procurement or supply chain management, ideally within organizations managing donor-funded projects.
  • Demonstrates a strong understanding of procurement protocols, vendor oversight, and contract management. Proficient understanding of procurement legislation, donor compliance standards, and established procurement best practices is required. Demonstrates exceptional organizational abilities and meticulous record-keeping, ensuring precision and thoroughness in all tasks.
  • Proficiency in Microsoft Office applications.
  • Good analytical, negotiation, and problem-solving skills. Proficient in both spoken and written English and Kiswahili, with strong communication abilities. Demonstrates strong capacity to operate effectively under tight deadlines, balance competing priorities, and deliver results independently with minimal oversight. Maintains the highest standards of integrity, professionalism, and ethical behavior in all aspects of work. Exhibits unwavering commitment to ethical principles and conducts duties with honesty, transparency, and accountability. Demonstrates a strong sense of personal and professional ethics in decision-making and interactions. Demonstrates a strong adherence to AKF’s established code of conduct and core values in all professional interactions and decision-making processes. Effectively collaborates with diverse multicultural teams and stakeholders spanning various offices, organizations, and geographic locations.
