Position context For our Impact Programme for Integrated Forest Landscape Management in the Congo Basin (GEF 7), we are looking for a dynamic and committed Project Administrative Assistant.

📍 Localisation

  • Duration: One (01) year, renewable based on performance and budget availability Mission of the department The Global Environment Facility (GEF) Council approved the six-year Congo Basin Sustainable Landscapes Impact Program (CBSL IP), which includes a regional component managed by UNEP and several national child projects in Congo Basin countries. The Cameroon child project is managed by WWF-US as the GEF Agency, executed by the Ministry of Environment, Protection of Nature and Sustainable Development (MINEPDED), with WWF Cameroon as Financial Administrator. It addresses the drivers of forest loss and degradation through strategies aimed at strengthening the integrated management of Cameroon’s globally important forest landscapes in the Congo Basin, in order to secure their biological integrity and increase economic opportunities and livelihoods for forest-dependent people. Over the six-year project period, these strategies will be implemented through five components:
  • Mainstreaming integrated land use planning and management
  • Improving management effectiveness and governance of high conservation value forests, along with targeted interventions to protect endangered species
  • Advancing sustainable forest management through non-timber forest product and hardwood value chains
  • Increasing benefit generation from biodiversity through sustainable tourism development
  • Monitoring and evaluation, knowledge management, and regional coordination The project targets key transboundary forest landscapes in Cameroon, stretching from the Rio Campo seascape on the coast, across the Cameroon segments of the Tri-National Dja-Odzala-Minkebe (TRIDOM) and Sangha Tri-National (TNS) landscapes toward the east. The target areas for project interventions depend on site-specific considerations, including the potential to achieve meaningful results within the six-year period, baselines and available co-financing, and the ability to manage environmental and social safeguard considerations. Several partners and subcontractors will be involved or hired for the implementation of various project tasks, requiring coordination and constant monitoring.

🎯 Responsabilités

In support of project management, we are seeking an Administrative Assistant who will provide support to the Project Management Unit (PMU) staff in carrying out their duties. Major functions The Administrative Assistant will support the Project Manager and other PMU staff in their duties through the following tasks. Major duties i. Management of official correspondence

  • Process outgoing official correspondence
  • Process incoming correspondence
  • Receive and record incoming and outgoing mail ii. Document management
  • Establish a filing plan and backup system for all project documents
  • Manage access to documents
  • Assist the Project Manager and PMU staff in preparing and monitoring consultancy contracts and sub-agreements
  • Maintain records of project and partner documents iii. Security procedures
  • Ensure the guarding of the PMU office
  • Maintain the visitor register
  • Announce incoming visitors
  • Manage the entry and exit of property
  • Ensure fire safety
  • Ensure hygiene and health standards iv. Management of property
  • Contribute to the management of fixed assets
  • Ensure office maintenance and manage office supplies and pantry
  • Welcome visitors and direct them to appropriate services
  • Manage the office lease agreement and insurance v. Management and use of project vehicles
  • Plan vehicle use on a periodic basis
  • Monitor vehicle operations
  • Manage accidents and breakdowns
  • Manage vehicle logbooks and related reports and statistics vi. Human resource management and social relations
  • Monitor the implementation of the annual staff holiday and leave plan, and prepare a monthly report for management
  • Maintain good relationships with partners and subcontractors vii. Organization of meetings
  • Assist PMU staff and consultants in organizing meetings and events, as well as travel and logistical arrangements
  • Ensure proper meeting organization, secretariat services, and classification of reports viii. Procurement
  • Provide procurement and logistical support related to project execution, following the Government of Cameroon and WWF guidelines and procedures
  • Develop and manage procurement plans ix. Other duties
  • Perform any other related duties as required

🧠 Profil recherché

Required qualifications and experience

  • Higher National Diploma (HND) in administrative or bilingual secretarial studies, or an equivalent qualification in a related field

💼 Expérience

  • At least three (03) to five (05) years of experience in a similar position within a well-structured organization; experience in an international non-profit organization would be an asset
