Organizational Setting and Reporting Relationship

The position of Portfolio Management Assistant is assigned to the Portfolio Management Division (PFPM) within the Procurement, Portfolio, and Financial Management Department (PPFD). You will be based at our Headquarters in Manila, Philippines.

You will report to a designated International Staff and Senior Officer.

Your Role

As a Portfolio Management Assistant, you will provide operational support for several portfolio management work.

You will:

Perform a combination of the following tasks and clearly defined areas, depending on the assignment/instructions from supervisors:

Portfolio Management Activities

Help prepare documents, data, and correspondence for project and portfolio management review and discussions.

Help organize meetings and preparing materials for the MDB portfolio network, Operations Review Meetings (ORM), Portfolio Management Forums, Portfolio Network, working groups, and related activities.

Assist supervisors in project and portfolio management activities, including coordinating interdepartmental meetings and respond to ad-hoc requests.

Help prepare the Annual Portfolio Performance Report.

Help prepare presentation materials.

Consultant Recruitment

Help recruit consultants by processing Individual/Staff Consultant requests and related contract variations, as may be required by the supervisors.

Documents and Data Management

Ensure that all correspondence and documents are prepared promptly and following ADB standards.

Ensure that all data and information related to portfolio management outputs are up to date

Seminar Administration

Assist the capacity building team in seminars on project and portfolio management.

Prepare slides and other visual aids.

Support different activities for assigned seminars by preparing resource materials, arranging venues, guest speakers, participants and receptions for participants.

Arrange seminar facilities required for in-house presentations of supervisors and PPFD guest speakers.

Others

Prepare reports and tables as required.

Perform other tasks as assigned and reflected in your workplan.

Qualifications

You will need:

Bachelor's degree in business administration, commerce, management, accounting or other relevant discipline.

At least 5 years of relevant professional experience with emphasis on portfolio management.

Working knowledge of assigned area

Proficiency in expressing ideas in both spoken and written formats in English, which include report-writing. Proficient in Word, Excel, Powerpoint, and required information technologies

Proven experience to liaise and work with external parties and with colleagues throughout ADB.

Capable to work collaboratively with teams as a constructive team member.

Additional Information

This appointment is open to internal and external applicants.

This is a fixed-term appointment for an initial fixed period of 3 years. At the end of the initial period, this appointment may, at the option of ADB, be extended once for up to 2 years, converted to a regular appointment, or ended on its expiration date. This decision will be made in the overall interest of ADB that: (a) it will require Staff's particular blend of skills and experience in the foreseeable future; and (b) Staff's performance is satisfactory and they are suitable for further employment.
