Candidate Requirements: High school diploma 5 years of relevant experience in finance, administration, supply chain, logistics, or business administration 3 years of experience with a first-level university degree Experience with Enterprise Resource Planning systems (e.g., UMOJA, SAP, Oracle) Experience in the United Nations system is desirable Experience liaising with vendors and stakeholders Experience with data analysis and reporting in supply chain, finance, or procurement Fluency in English Result of Service Annual Acquisition Plan finalized and submitted on schedule. Accurate and timely quarterly acquisition plan progress reports. Updated and accurate data analysis reports supporting decision‑making. Properly coordinated and monitored acquisition actions, ensuring timely requisition processing. Work Location Remote Expected duration 3 months with possibilities of renewal subject to funding availability. Duties and Responsibilities The position is located within the Sourcing Coordination Unit of the Business Support Section, Pension Administration. The incumbent contributes to frontend planning for the acquisition of goods and services in support of the Pension Administration Activities. She/He works under the direct supervision of the Chief, Sourcing Coordination Unit and in close coordination with budget, procurement and all relevant stakeholders. The contractor will be responsible to perform the following duties: • Assist in the preparation of the annual Acquisition Plan by collecting, consolidating, and validating requirements submitted by all sections. • Support the categorization and prioritization of requirements, ensuring alignment with budget availability and the overall acquisition plan, while exploring and presenting all viable sourcing options to internal clients. • Compile, extract, and update expenditure and related data from enterprise systems (e.g., Umoja ECC/Umoja Analytics) to support analysis and planning activities. • Monitor commitment documents and acquisition actions to ensure timely advancement through each stage of the procurement and acquisition cycle. • Record and maintain up‑to‑date tracking of all acquisition actions for assigned commodities and services using coordination tools and databases. • Coordinate with technical units to confirm, refine, and plan requirements associated with acquisition activities. • Ensure that requisitions accurately reflect appropriate lead times, sourcing options, technical specifications, and quality assurance requirements in accordance with established guidelines. • Coordinate with the Procurement Section on PO approvals and monitor contract extensions, not‑to‑Exceed (NTE) balances, and other related actions to ensure timely follow‑up. • Ensure full compliance with applicable rules and regulations, Standard Operating Procedures (SOPs), guidelines, and administrative instructions governing acquisition planning and procurement activities. Qualifications/special skills High school Diploma •A minimum of five (5) years of relevant experience finance, administration, supply chain, logistics, business administration, or related fields is required. The minimum years of relevant experience can be reduced to three (3) for candidates who possess a first-level university degree or higher. •Experience working with an Enterprise Resources planning system (UMOJA, SAP, Oracle or other) is strongly desirable. •Experience working in the United Nations system is desirable. •Experience working with national and/or international agencies, liaising with vendors, clients and other stakeholders is desirable •Experience with data analysis expenditures reporting, ERP systems, especially in supply chain, finance, or procurement is desirable. Languages English and French are the working languages of the United Nations Secretariat. For this job opening, English is required.
