For our Cameroon Country Office, we are looking for a dynamic and committed Executive Assistant Intern. Reports to: CCO Executive Assistant. Supervises: N/A Location: Yaounde Duration: six (06) months Major Functions The Executive Assistant Intern will contribute to a comprehensive administrative, coordination and communication support to the Country Director and the Cameroon Country Office. Major Duties and Responsibilities: 1. Administration • Contribute to budget preparation and monitoring for CD Office running costs • Take notes, prepare minutes and update decision follow up table of the CD’ chaired meetings, ensuring that relevant team members produce regular updates • Support planning and follow up of Country Leadership Team (CLT), CMT (Country Management Team) and staff meetings • Support the organization and prioritization of the Country Director's agenda for calls, meetings, appointments and streamline requests and workload as necessary • Contribute to ensure the upstream processing of visa applications and especially visas on landing (request, support, reservation…) • Edit enquiries, reports and documents as appropriate and maintains filing and archiving systems • Assist in reviews and handles mail and correspondence for the Country Office and routes as appropriate to designated departments • Be routinely involved in relaying processing/handling information of most sensitive, diverse and confidential nature • Support trips planning for the Country Director and designated WWF CCO CLT members and ensures effective logistics items (flights, visas, travel advance, travel request, itinerary table + contacts invitation letter, hotel confirmation, related travel documents) are up to date. 2. Coordination support • Support the coordination of inputs and assist in developing presentations for management ahead of high-level meetings with partners (Government, Donors and missions) and operational briefings • Assist with logistics for all relevant meetings in Cameroon • Support external events organization as necessary, including agendas, production of reports and monitoring and follow-up of recommendations • Facilitate information sharing within the WWF CCO CLT and all WWF CCO by providing regular updates for CCO internal communications tools (meeting & events calendar; travel & leave update)
